The Role
The CMG Administrative Assistant role involves a combination of administrative and planning responsibilities focused on supporting our Leadership Team and the CAA’s Consumer Panel to enable the group to run smoothly.
Core Accountabilities
- Support a range of tasks including monitoring and managing diaries of the CMG Leadership Team to ensure effective collaboration and achievement of work milestones.
- Manage industry contacts ensuring all details held on file & in company databases are current, changes are processed expediently & contact details are reviewed & updated on a periodical basis.
- Review & update company databases with contact information. Ensure that external stakeholders can receive correspondence from the CAA in a secure & timely fashion.
- Implementation: Undertake tasks as set by the CMG Leadership Team as required
- Provide meeting support - arranging/facilitating meetings including all the logistics (i.e. catering, venue booking, etc.), assisting in the development of agendas, collate and circulate papers, producing meeting notes; prepare and circulate Action/Decision log.
- Stakeholder Engagement: Building working relationships with relevant internal and external stakeholders, providing support for CMG leadership ahead of meetings with stakeholders, attendance of seminars, conferences and other stakeholder events.
- Additional support to CMG including monitoring and managing relevant inbox; producing reports; updating processes and procedures documentation; coordinating IT updates relating to CMG.
- Communicate policies and how they impact on decisions taken to stakeholders both verbally and in writing and provide clarification and explanation on more complex issues.
- Intelligence gathering and analysing data in support of CMG colleagues and functions.
- Consumer Panel: Provide administrative support to Consumer Panel as directed by management
- Liaise with external stakeholders where required.
- Undertake other tasks as allocated by line management, including in support of CMG and wider CAA projects.
- Ensure enquiries from internal and/or external stakeholders are forwarded to key focal points in a timely manner.
About You
Essentials
- Excellent verbal and written communication skills to effectively interact with diverse stakeholders.
- Team player and able to work collaboratively, supporting and communicating effectively with colleagues
- Methodical and organised approach with an eye for detail.
- Proven planning and time management skills including an ability to effectively prioritise in a busy environment to meet business needs and customer needs.
- Problem Solving – Ability to come up with solutions to increase the effectiveness and efficiency of the administration tasks and other business processes
- Good IT skills, specifically in Microsoft Applications (Word, Excel, and PowerPoint)
- The ability to work unsupervised using own initiative in reaching sound judgments
- Produce good quality, accurate work to deadlines.
- Professional aptitude, positive attitude and eager to learn
- 5 GCSE’s A-C / 9-4 or equivalent (must include Maths and English) - 2 A levels or equivalent
Desirable
- An interest in working in the aviation industry and a passion for protecting consumers would be valued.
- Willing and able to perform a variety of office functions (flexibility), demonstrating sound administrative skills and be able to switch from one task to another quickly
- Ability to recognise when escalation is required
- Confidence to ask questions and seek resolutions.
- Prior experience in a similar role would be advantageous

For many appointments within the CAA, these roles require access to operationally sensitive infrastructure and/or Nationally Protected information. For these roles the post holders must undergo National Security Vetting and achieve the appropriate level of clearance.

Relocation & Property
The CAA will be relocating from Aviation House (Our Gatwick Office) to new premises in a few years’ time. Our move is driven by strategic, operational and environmental considerations.
We will be moving to a new local home, up to a 15-mile radius of Aviation House, to minimise disruption for our valued colleagues and customers.
We are now working with colleagues and visitors to understand what we need in our new office, before we start our property search. We will sell Aviation House and land, vacate the site and move to new premises, but we do not expect to move before 2028
