Job Overview

The post holder will be responsible for providing business support to the Women’s Services Senior Leadership Team, developing and maintaining effective systems and processes to support the effective running of the Service’s function.

The post holder will be expected to demonstrate high levels of integrity, innovation and commitment to the team and will be expected to develop new processes that support efficient ways of working.

In addition to business support, the post holder will also be expected to facilitate and support key interventions and programmes as part of the role. The post holder will therefore, be expected to adopt a flexible approach to support the needs of the Service.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Main duties of the job

  • High level skills in using a range of office systems and processes.
  • Detailed experience in the use of advanced MS Office suite, including Word, PowerPoint, Excel, Access, Publisher.
  • Experience of working autonomously, using own initiative, but with access to advice when necessary.
  • Undertaking data collection, collation and inputting into complex spreadsheets and documents.
  • Experience and understanding of project methodology and monitoring.
  • Experience of producing reports in line with key performance indicators.
  • To support the He team in delivering the strategic and operational objectives of the function, providing administrative support to achieve its objectives.
  • To provide and receive complex and sometimes sensitive information orally, in writing and electronically to inform the work of the team, and other stakeholders. This may include confidential staff or management data.
  • Maintain close collaborative working relationships with other team leaders, service managers and workforce colleagues.
  • Responsibility for promoting the work of the Service to raise awareness and develop relationships across the health board.
  • To represent the team at internal and external meetings when required.
  • Ability to motivate and persuade people, i.e. staff and key stakeholders where agreement and cooperation is required.
  • Experienced communication and facilitation skills.

  • Experience of administrative processes
  • Experience of handling complex/ sensitive issues

  • Proficiency in clerical and administrative procedures
  • Application of systems of work and organisational policy
  • Good knowledge of MS Office/I.T. systems/Social Media Thorough understanding of administrative procedures
