Description

We are looking for an enthusiastic, hard-working, organised Directorate Support Officer to join our exciting team working in the Emergency and Acute Medicine Directorate based at the Emergency Department, University Hospital of Wales.

The successful candidate will be working directly to the senior management team and alongside the Clinical Director/Acute Care Physicians. You will be a crucial point of contact, source of information and play a key support role in maintaining cross-organisational communication and scheduling. You should have a high standard of education with excellent typing and word processing skills including the use of Excel, Microsoft Word, PowerPoint and Outlook. You will act as minute secretary for meetings including collation of paperwork and timely distribution prior to meetings. You must be confident in collating information from various sources, producing papers on time and contributing to projects as required. Excellent organisational, administrative and communication skills are essential.

The work includes contact with staff, patients, Police, external agencies therefore excellent communication and inter person skills along with a professional and friendly approach is required. You will have a high regard for confidentiality. With a busy workload you must be organised and a capable self-starter, able to work on your own initiative and prioritise tasks in order to cope with tight deadlines.

Main duties of the job

o To provide an efficient, comprehensive directorate support & administrative duties for directorates within Emergency and Acute Medicine, ensuring high standards at all times and in conjunction with department leads.o To work as part of the Emergency and Acute Medicine Team providing support to the Directorate Management Teams and lead nurses within the department.o Liaise with and schedule meetings for staff, working alongside the Coordinating team.o Use a number of IT systems for data entry and report generation.o Liaise effectively with other University Health Board (UHB) admin and clinical staff and communicate with staff, patients and relatives to answer queries and resolve concerns.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
