If you thrive on variety and enjoy making things happen behind the scenes, we’d love to hear from you.

We are fully committed to being an inclusive employer and ensuring equal opportunities for everyone. We welcome flexible working patterns for all our vacancies.

Job Description

We have a fantastic opportunity to join the Executive Office within the Strategy, Transformation, and Assurance Directorate.

You’ll play a vital role in supporting strategic delivery at the heart of our organisation.

We’re looking for a highly organised and proactive Administrative Assistant to provide exceptional support to our Executive Support Team. This is a varied and rewarding role that combines administrative excellence with planning, co-ordination of logistics for events (including visits and conferences) and note-taking responsibilities.

The key to this role is the ability to be a self-starter, communicate effectively, and ensure attention to detail in all that you do.

This is a fast-paced role, working closely with others in the Private Office, the Executive Leadership Team’s private offices, and colleagues from across the organisation.

This role provides great learning, networking, and career development opportunities.

What you’ll do:

  • You’ll handle all administrative activities on behalf of the Business Manager and Executive Coordination Managers.
  • You’ll play a key role in managing the logistics for events and visits, working closely with the team to ensure smooth running of internal and external events.
  • Support the Office with planning activities.
  • You'll draft key notes and actions for a range of meetings, providing clear records of decisions.
  • You will be required to provide cover for the Executive Director's PA once a week (currently on a Friday) and during periods of leave, so there is an opportunity to get involved in a broader range of activities on a regular basis.

If you thrive on variety and enjoy making things happen behind the scenes, we’d love to hear from you.

The team

Strategy, Transformation and Assurance (STA) Directorate comprises around 1,200 staff.

The STA Executive Office is a small, supportive team working on behalf of the Executive Director.

The Office has recently undergone a restructure, expanding resources to enable individuals to perform at their best, provide excellent support to the Executive Director, and improve collaboration across STA and the organisation. This is a great time to join the team and be part of something new.

Experience/skills Required

What we’re looking for:

We’re looking for someone highly organised, digitally confident, and an experienced communicator who can build strong relationships with internal and external stakeholders. You’ll need to be adaptable, calm under pressure, and able to manage competing priorities effectively.

Desirable skills/experience required for the role:

  • Strong organisational and time management skills
  • Excellent communication skills (written and verbal)
  • Strong attention to detail
  • Ability to maintain confidentiality and discretion
  • IT proficiency in Microsoft Office Suite
  • Experience in note taking and document preparation
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience in event coordination and administrative leadership

We are fully committed to being an inclusive employer and ensuring equal opportunities for everyone. We welcome flexible working patterns for all our vacancies.
