About the Role:
We are looking for a People & Business Operations Coordinator to join the Intellego team in London from August/September 2026. This is a broad, hands-on role at the centre of the business, combining people operations and HR administration with day-to-day office coordination.
A key part of the role will be supporting the execution of Intellego’s hiring programme across both the central team and our school network in the UK and Europe. You will coordinate recruitment processes end-to-end, help implement onboarding frameworks, and liaise with school-level contacts to ensure local compliance, visa requirements, and employment obligations are met. You will not be expected to be an expert in every jurisdiction but you will be the person who makes sure the right questions are asked and the right advisors are engaged.
You will report to the HR Director, who joins in Summer/Autumn 2026 and will work across the school network. Your role is to be the reliable operational centre: executing the people processes the HR Director designs, keeping the London office running smoothly, and ensuring the wider team is well supported day to day.

Key Responsibilities:
Recruitment & Hiring:
• Support the implementation of Intellego’s hiring strategy across the central team and school network in the UK and Europe, working closely with the HR Director and school leadership.
• Manage job postings across relevant platforms (TES, LinkedIn..), liaise with recruitment agencies for Senior leadership Roles, and maintain candidate pipelines for both central and school-level roles.
• Structure and coordinate the end-to-end interview process: scheduling, candidate communications, feedback collation, and offer management.
• Build and maintain standardised recruitment documentation, including job descriptions, interview guides, and offer letter templates.
• Track hiring progress across open roles and provide regular updates to the HR Director and relevant stakeholders.
• Liaise with site-level contacts at each school to understand local hiring needs, timelines, and constraints.
Onboarding & Compliance:
• Design and execute a consistent onboarding process for new starters across the central team and schools, ensuring a strong first experience from offer acceptance through to day one and beyond.
• Coordinate right-to-work checks, contract preparation, and pre-employment documentation for all new hires.
• Liaise with school-level HR contacts, local legal advisors, and relevant authorities to ensure visa and work permit requirements are identified and met for hires across European and UK locations.
• Maintain an up-to-date tracker of compliance obligations by country, escalating issues to the HR Director where needed.
• Coordinate IT setup for new starters, including equipment provisioning and system access, liaising with external IT support as needed.
Workstream Coordination:
• Support the coordination of internal workstreams, helping to track progress, deadlines, and deliverables.
• Prepare agendas, take meeting notes, and follow up on action items to keep projects moving.
• Act as a central point of contact for internal communication and coordination across the team.
People Operations & HR Administration:
• Serve as the main point of contact for day-to-day HR queries from employees and managers, escalating to the HR Director where appropriate.
• Maintain accurate and GDPR-compliant employee records and HR systems, ensuring data integrity at all times.
• Administer and track employee absence, leave, and performance documentation in line with company policy.
• Support the maintenance of HR policies and internal documentation under the direction of the HR Director.
• Assist with payroll preparation by gathering and checking inputs and liaising with the relevant finance contact.
• Coordinate employee engagement initiatives, internal events, and team communications.
Office Operations:
• Ensure the office is well organised, professionally presented, and fully equipped for day-to-day business operations, managing facilities, suppliers, and health and safety compliance
• Manage and coordinate diaries across the team, scheduling meetings, calls, and appointments efficiently; support with travel arrangements and expense processing
• Support workstream coordination: preparing agendas, taking meeting notes, and following up on action items to keep projects moving.
• Handle general administrative tasks including document management, filing, and data entry.
About You:
• Experience in an HR administration, HR coordinator, or people operations role, you understand the employee lifecycle and are comfortable coordinating it reliably across multiple stakeholders.
• Some exposure to recruitment coordination or talent acquisition, ideally across more than one location or country; familiarity with hiring for diverse role types (operational, academic, or administrative) is a plus.
• Comfortable working across international or multi-site environments; you know how to navigate complexity by asking the right questions and pulling in the right people rather than trying to know everything yourself.
• Highly organised and detail-oriented, with the ability to manage multiple open processes simultaneously without letting things slip.
• Discreet and professional in handling sensitive employee information, with an understanding of GDPR obligations as they apply to HR practice.
• A confident and clear communicator, written and verbal, who can liaise effectively with school-level contacts, candidates, and external advisors across different geographies and cultures.
• Familiar with HR systems and common office tools (Microsoft Office, Google Workspace); experience with HRIS platforms is an advantage.
• A proactive, can-do approach, you get on with things without being asked, and you take pride in a well-run environment.
