Job Summary

We are currently seeking to recruit a Senior Learning Content Coordinator on a fixed term basis to cover maternity leave, to join the team at the Volkswagen National Learning Centre in Milton Keynes.

The Senior Learning Content Coordinator will report directly to the Technical Content Design Development Team Manager and will play a key role in coordinating workflow within the team, assisting the team in the completion of their personal and team responsibilities, supporting escalation queries and developing their own people management skills. Role will consist of 20% team supervision, 40% project coordination and 40% proofreading.

Key Responsibilities

Team Supervision (20%)

  • Supporting a team of Project Executives, Instructional Designers and Desktop Publishers to execute the varied tasks required of the Technical Learning and Development team:
  • Developing and maintaining a solid working knowledge of all the roles and their respective responsibilities within the team, with the ability to help provide cover during periods of absence.
  • Deputising for the Team Manager as required, for example, attendance at meetings.
  • Acting as the first point of escalation.
  • Leading by example.
  • Adhering to and following all policies and processes:
  • Documenting new and existing processes and looking for efficiencies and opportunities for automation
  • Undertaking ad-hoc reporting and administration, as well as attending meetings (onsite and offsite) as considered necessary by Calex and VWG.
  • Working closely with the Calex Management and Leadership team, and other key personnel, to support the partnership with VWG, and ensure KPIs and SLAs are achieved.


Project Coordination (40%)

Communication

  • Effective communication skills both written and verbal through email, project plans, Teams calls and PowerPoint (not exhaustive)
  • Attention to detail, ensuring all elements have been checked before being communicated to the wider business.
  • Confident communication with stakeholders at all levels.
  • Accurately articulate project status including successes and risks.

Multiple projects

  • To multitask and prioritise and determine between urgent and important
  • Follow end-to-end processes whilst identifying opportunities for efficiency
  • Identify and report risks or issues that can affect key deliverables
  • To take a proactive approach to managing projects so we’re always on the front foot and able to identify risks and solve problems

Stakeholder Management

  • Build and maintain strong and effective relationships with all stakeholders
  • Proactively manage expectation using a variety of reporting methods

Administration

  • Facilitate project meetings taking the lead when required
  • Create and distribute meeting minutes and outline key responsibilities, decisions and actions
  • Create SMART project/action plans
  • Report on budgetary spend
  • Demonstrate good documentation management at all times
  • Ensure attention to detail

Time and Task Management

  • Demonstrate good organisational skills
  • Manage your time, and that of other key stakeholders efficiently
  • Work at pace and adhere to project deadlines


Proofreading (40%)

  • Helping to build and maintain a range of learning assets through proofreading and making recommendations for corrections to materials, prior to publishing for print or online.
  • Regionalising and occasionally translating training content received from our global factory teams.
  • Applying localised brand guidelines to internationally designed and written content.
  • Liaising directly with Designers and Trainers to understand and interpret their exact project requirements.
  • Working cross-departmentally and with other stakeholders in the business to produce an updated style guide applicable to print materials, digital content which is also suitable for learners with diverse learning needs.


About You

  • Experience in project coordination
  • Experience in coordinating multiple projects simultaneously
  • Experience of coordinating workload for a team
  • An effective communicator both written and verbal
  • Good financial acumen
  • Able to build and maintain effective working relationships, ideally in a client/customer environment
  • Proficient experience in using MS Office / MS365
  • Good working knowledge of Smartsheet would be advantageous
  • Creating and editing briefs in Microsoft PowerPoint including Gannt charts
  • Tenacity and persistence in ensuring project deadlines are adhered to
  • Recognised project management qualification (desirable)
  • Demonstrable desktop publishing experience
  • Have excellent communication and presentation skills (written and verbal)
  • Be highly motivated and resilient, with an unwavering attention to detail and consistent focus on quality
  • Must be able to work both as a lead and as part of a team cross – functionally and collaboratively

Contract: Fixed Term (12 months) / Full Time


Working Hours: Monday to Friday / 40 hours per week


Place of Work: VWG National Learning Centre, Wymbush, Milton Keynes.

We currently operate hybrid working with at least 60% of time in the National Learning Centre with the opportunity to work up to 40% remotely. Time spent in the office may change. There will also be times when it may be necessary to work from alternative locations, e.g. VWG facilities and retailers, and other sites as necessary to perform the role.


Pre-employment Checks: Calex will undertake the relevant/standard employment checks with any successful candidate. This includes contacting all nominated referees, as well as checking candidate ID, driving licence (if appropriate) and right to work in the UK. Some roles may also be subject to further pre-employment checks (confirmation will be provided through the recruitment process).
