Scope And Responsibilities
Based in London, the Business Development Assistant will provide administrative and sales support to the EMEA Business Development team, specifically to the Switzerland and German Business Development Representatives. Responsibilities include:
- Provide sales prospecting and administrative support to two Business Development Reps and general support to the team;
- Scheduling complex meetings, travel arrangements, preparing detailed itineraries and full diary management;
- Manage logistics of onsite and offsite client and prospect meetings including, but not limited to booking of the conference room, order food and set up as necessary, prepare data/materials (printing and binding), update agenda and manage delivery and logistics of client material;
- Assist with the coordination of subscription agreements, standard due diligence and marketing material requests;
- Maintaining CRM database (SalesForce);
- Coordination of roadshows, roundtable and LP events
- Assist where needed with coordination of email-blast mass mailing process;
- General administration duties – processing expense reports, invoices, scanning, photocopying, filing, car/courier bookings, meeting room bookings;
- Working in partnership with the other Marketing Assistants to ensure the optimal level of support for the team including cover for when other Assistants are on leave.
- Answering, screening and managing incoming phone calls, faxes and mail from executive level clients;
- Reviewing, tracking and maintaining documents; following-up to obtain information as necessary;
- Performing other administrative duties as required
Experience Required
- A minimum of 4 years’ experience in a role related to Administrative Assistance, Team Assistance or Coordination specifically with the financial sector, preferably in Asset Management
- Full fluency in English and German required
- Experience in the organisation of highly complex calendar management and international travel
- Proven ability to manage tasks with competing priorities and deadlines, and self-initiating other value-added tasks;
- Proven track record in maintaining discretion with confidential information;
- Strong working knowledge of Microsoft office applications including Excel, Word, Outlook and PowerPoint;
- Experience using a CRM highly desired

Education
- Bachelor’s degree is preferred, however not a prerequisite;
