Clinical Business Support Administrator


Employed Position

Salary: £26,000–£28,000 (depending on experience)

Hours: 37.5 hours per week (Shift work - Monday–Friday between 8am-4pm & 1-9pm, Saturdays 9-5pm)

Location: Primarily based at Harley Street but also across clinic sites (Harley Street, Pont Street, Eaton Gate, Brook Street, and any future London locations)

Reports to: Head of Customer Operations, Executive Assistant & Director of Clinical Operations


Role Overview


We are a premium private mental health clinic seeking a skilled and organised Clinical Business Support Administrator to oversee key operational processes that support both clinicians and the wider team. This role will manage prescription workflows, report logistics, clinician onboarding, and inbox coverage, and current client queries acting as a crucial support to ensure smooth clinical and business operations.


This role is ideal for someone who thrives in a fast-paced, detail-oriented environment and is confident communicating with psychiatrists, clinicians, clients, and senior stakeholders.


Key Responsibilities


Clinical Admin & Prescription Support


  • Oversee all prescription-related tasks, including liaising with psychiatrists, calling pharmacies, and updating clients.
  • Edit, format, and send psychiatric reports as needed.
  • Manage uploading and secure sharing of assessment reports via Egress or other systems.
  • Oversee Shared Care Agreements and transfer of care.
  • Coordinate with families and clinicians for assessments (especially with child and adolescent clinicians).


Clinical Compliance & Scheduling


  • Monitor and update clinician training records (DBS, HCPC, GMC, etc.).
  • Maintain and update the induction handbook and clinician directory.
  • Track expiry dates of mandatory training and prompt re-certification.
  • Oversee annual for SCA (Shared Care Agreements) prompts and client notifications.


Recruitment & Onboarding Support


  • Support end-to-end recruitment logistics: collecting documentation, booking site visits, and onboarding setup.
  • Input and maintain recruitment progress in HubSpot or related systems.
  • Liaise with internal departments (Marketing, Finance, Clinical Coordinator) for clinician bios and profiles.
  • Help coordinate sponsorship-related administrative activities.


General Operations


  • Provide oversight on room availability and space usage across clinic sites.
  • Monitor and assist with contract changes for associate clinicians.
  • Handle incoming clinical inbox queries; triage and action tasks to appropriate teams.
  • Support current client call handling and ensure continuity of communication.


Project & Business Admin Support


  • Assist with high-level administrative tasks including site visit scheduling, investor due diligence, and clinic expansions.
  • Support with a range of administrative and operational requests as they arise, including document formatting, ad hoc projects, or time-sensitive business tasks
  • Support with event planning and coordination e.g. clinic CPD events, socials and wellness retreats.


Person Specification


Essential

  • 2+ years of experience in clinical or medical administration
  • High attention to detail and ability to manage confidential documentation
  • Proactive and organised; can manage multiple priorities simultaneously
  • Strong interpersonal skills and confidence liaising with clinicians, clients, and parents
  • Excellent verbal and written communication
  • Proficient in Microsoft Office, PDFs, and CRM/practice management systems


Desirable

  • Familiarity with prescription processes or supporting psychiatrist
  • Experience using HubSpot or other CRM tools
  • Background in HR/recruitment or compliance tracking
  • Previous exposure to high-pressure or high-growth clinical environments, preferably in a private healthcare setting
