Job Summary
Kiwa Product Compliance (KPC) is looking for a part time (20hrs per week) Commercial Operations Assistant to help drive smooth day-to-day operations. In this role, you'll be responsible for preparing accurate sales documentation—including sample shipping paperwork, order acknowledgements, and sales invoices—maintaining up-to-date records in our internal systems, managing sales components, and generating reports. This is a hybrid role, based in Aylesbury.
About The Role
Commercial Operations
- Set up new customers and projects in Microsoft Dynamics, including collecting required documents and supporting due diligence checks.
- Maintain accurate invoice tracking and ensure alignment with finance records.
- Laise with the Finance team to ensure project costs are correctly recorded and match the main finance system.
- Work with Project Managers to ensure timely and accurate project closures.
- Reconcile project data across quotes, supplier invoices, and financial systems.
- Support the Credit Control team with any invoice-related queries.
- Support external audit with enquiries.
- Assist Project and Account Managers with reports and ad hoc queries.
Administrative Support
- Assist the Administration team with coordinating inbound and outbound customer shipments.
- Help maintain the customer sample database by accurately recording all incoming and outgoing shipments.
Do you have what it takes?
- Experience in a financial and administrative support environment.
- Experience in processing customer documentation, including order acknowledgements, sales invoices, and credit notes.
- Strong collaboration skills with the ability to work effectively across all stakeholder groups.
- Able to balance the needs of customers, shareholders, and colleagues.
- Excellent communication, interpersonal, and motivational skills.
- Resilient, dynamic, and results-driven with strong problem-solving and teamwork skills.
What can you expect from us in return?
- £14,133.33 per annum (£26,500 full-time equivalent)
