What will you be doing?
Subsea7 has an exciting opportunity for a Document Controller to join our UK & Global IRM team on a full-time, contract basis for an initial period of 12 months to provide maternity cover.
The role is responsible for supporting all aspects of document control within a project, ensuring systems, processes and reporting requirements for both internal and external clients are met by adherence to Subsea7 procedures.
Collaboration and flexibility are essential within our teams, and as such you will be required to support other activities including archiving and interfaces and upcoming digital initiatives.
Role
The role would suit someone with previous experience and the motivation to pro-actively engage and collaborate with colleagues and other departments ensuring the correct guidance, support and compliance are in place to fulfil the specific work scope. You will:
- Maintain a comprehensive Document Control System as required to fulfil the requirements of any specific project
- Ensure all documentation, drawings and specifications are up to date and at the correct revision
- Be responsible for project document As-Built and archiving documentation
- Be willing to assist in in other wider department tasks and roles like Archiving and Interfaces
- Be willing to take part in upcoming Digital Initiatives
- To act as the contact person for the Document Control System within projects
- Participate in presenting Document Control processes and systems at the “kick off” of new projects and to new project employees
- Participate in the discussion of the “Subcontractor Document Register” during project and Supplier “kick off” meeting
- To assist the Document Control Team Leader in maintaining a consistent controlled approach to Document Control processes
- Ensuring compliance to company procedures and contractually agreed conditions
- Assist in ensuring that correct procedure standards are being used and that all documents, drawings and specifications are up to date and at the correct revision
- Responsible for assisting with archiving of project documents ensuring that retained information is in date and relevant
- To participate in internal audits as directed
- Maintaining a comprehensive Document Control System as required meeting the requirements of any specific project
- To be the focal point for all Project documentation, accounting for all documentation received and transmitted
- Ensuring that all Project documentation is controlled and expediently distributed as per the specific distribution requirements
- Monitoring and reporting of document status by the use of reporting tools
- Ensuring that Internal Departments produce documentation within the MDR planned dates
- Supplying documentation for mobilisation and for compiling manuals as appropriate for as-built review etc
- Using reports, advise Client, Subcontractor, Project Manager and Team Members on a weekly (or agreed) basis, the status of documents and comments internally and externally
- Assist Document Control Team as and when requested by the Document Control Team Leader, due to busy periods, illness and holiday cover
What experience would we like you to have?
- Previous Document Control experience essential
- Working within a Subsea, Oil and Gas environment preferred
- ProArc EDMS experience would be desirable
- Technical Document Control experience
- Computer literate – experience of Microsoft Word and Excel
- Good administration skills
- Good communication skills, both verbal and written, maintains positive collaborative relationships at all levels across a multicultural global environment
- Ability to work with detail and accuracy
- Pro-active planning and organising skills, able to identify and prioritise workload and effectively meet multiple, often competing deadlines
- Flexible to adapt to changing priorities within a fast-paced 24/7 global business
