Role outline


The Legal 500 is seeking an experienced and highly organised Events Logistics Lead to oversee the operational delivery of our global events portfolio — including high-profile awards ceremonies, GC summits, roundtables, and dinners. This pivotal role is responsible for ensuring every logistical element, from venue sourcing to on-site execution, is delivered to the highest standard, reinforcing our reputation for excellence within the legal industry.


Key Responsibilities


  • End-to-End Event Management: Oversee the operational delivery of a global portfolio of events throughout the year, ensuring flawless execution from planning through to post-event analysis. Personally manage the delivery of large-scale global events, setting project timelines, maintaining detailed plans, and ensuring all deliverables align with business objectives and brand standards
  • Team Leadership: Lead, mentor, and manage a team of Events Assistants, Coordinators, and Managers. Provide regular performance reviews, coaching, and professional development opportunities
  • Resource Management: Effectively allocate and balance workload across the logistics team to ensure optimal use of internal resources
  • Budget Management: Develop, manage, and reconcile event budgets. Monitor spend, ensure cost control, and deliver value while maintaining quality
  • Cross-Functional Collaboration: Work closely with sales, marketing, editorial, delegate acquisition, and media teams to ensure cohesive planning and delivery across all functions
  • Venue & Supplier Management: Source, evaluate, and secure appropriate venues and vendors globally. Negotiate contracts, manage ongoing relationships, and ensure services are delivered on time and to specification
  • Onsite Management: Travel to UK and international events to lead on-the-ground logistics and ensure smooth, professional delivery from set-up to close.
  • Feedback & Analysis: Lead post-event evaluations by gathering feedback from stakeholders and attendees. Analyse findings and implement actionable improvements to enhance future event quality, efficiency, and impact
  • Innovation & Continuous Improvement: Drive improvements in logistics processes and event quality. Introduce new ideas, stay current within industry trends, and apply best practices to enhance attendee experience and operational efficiency


Skills & Experience


  • Extensive experience delivering, high-profile B2B events globally, including awards and summits
  • Proven leadership in managing and developing teams at all levels (assistants, coordinators, and managers)
  • Strong project management skills with the ability to manage multiple priorities and deadlines
  • Demonstrated experience in managing event budgets, supplier contracts, and vendor relationships
  • Confident in onsite event delivery, including international travel and high-pressure environments
  • Excellent interpersonal and stakeholder management skills, including working with senior legal professionals
  • Tech-savvy and detail-oriented; proficient with event and project management tools
  • Skilled in supplier negotiation, budget control, and resolving logistical challenges
  • Calm under pressure with outstanding attention to detail and communication abilities


Role details


  • Regular global travel
  • Hybrid workplace, 3 days a week in Fleet Street office
