The aim of the Executive Assistant is to provide high-level administrative, organisational and coordination support to AVK's Executive Team, enabling them to operate efficiently, effectively and with strategic focus. The Executive Assistant (EA) plays a key role in managing information flow, planning leadership events, and acting as a reliable point of contact for internal and external stakeholders.
Key Responsibilities:
- Executive Support & Diary Management
- Manage email inboxes for multiple executive leaders
- Manage complex diaries for multiple executive leaders, prioritising meetings, travel and events
- Prepare agendas, materials and briefing documents for leadership meetings, board packs and offsites
- Ensure timely follow-up and execution of actions arising from leadership forums and meetings
- Process executive expenses and manage executive-level purchase orders or subscriptions
- Internal Coordination & Communication
- Serve as the central coordination point between executive leadership and internal stakeholders
- Support the planning and coordination of internal leadership communications, including quarterly all-hands meetings and town halls
- Draft and manage confidential communication on behalf of executives
- Logistics, Travel & Event Management
- Coordinate executive travel arrangements, including itineraries, accommodation and logistics
- Assist with planning and deliver internal leadership events, such as strategy away days and board dinners
- Document Preparation & Administration
- Draft and format high-quality documents, presentations and reports
- Maintain filing systems for executive documents in line with AVK standards
Requirements
- Proven experience in a senior Executive Assistant, or similar administrative role
- Excellent written and verbal communication skills, with strong attention to detail
- Highly proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook) and digital scheduling tools
- Strong understanding of executive priorities and confidentiality standards
- Able to multitask and work under pressure in a fast-paced environment
