Milltown Partners is a global advisory firm working with influential organisations and individuals on the communications and public policy challenges that define their reputations. We are looking for an experienced and proactive EA to support 3 principles (CEO, one Co-Founder, one Partner) as well as provide oversight of the wider office and executive support function where needed, and support with ad hoc projects.
This is a 13-month fixed term maternity leave contract (with possibility to move to perm). This is a fulltime position, minimum 4 days per week in the office, 0830 - 1730 (with occasional longer hours if needed).
The Executive Assistant role:
Executive support (80%)
- Manage the diaries of the CEO, one Co-Founder and one Partner to their respective styles and preferences to make the most effective use of their time
- Liaise with high-profile clients and contacts on their behalf to arrange meetings
- Manage and help plan daily, weekly and monthly priorities
- Collaborate with the Chief of Staff to provide joined up support and advice to CEO
- Manage an extensive contact database; ensuring the appropriate frequency of contact is maintained with their respective networks
- Organise UK and international travel arrangements
- Organise internal and external events, hosted by the CEO and/or Co-Founder
- Complete monthly credit card reconciliations for
- Provide holiday support cover for Executive Support function
Office and Executive Support team oversight and support (20%)
- Collaborate with Senior EA for ad hoc decision-making that effects the Europe office and executive support function
- Organise wider team and senior leadership team travel where needed
- Minute taking, scheduling and organisation for certain Global team meetings
- Collaborate with US Executive Support team where needed
Contribute to a collaborative and inclusive work environment
- Giving and receiving feedback to/from colleagues at all levels in the firm
- Actively seeking input or assistance from others and reflecting their contributions
- Demonstrating allyship to all colleagues
- Supporting the wellbeing of everyone on the team
Skills and experience
- Five years minimum experience in an Executive Assistant role for C-Suite principles
- A fluent command of English, and excellent verbal and written skills
- Excellent organisational and time management skills, understanding what takes priority and when according to business need
- Experience of managing complex diaries at C-Suite level
- Proactive attitude and an ability to stay one step ahead to anticipate issues and provide solutions
- Calm confidence and emotional intelligence in the face of difficult situations
- Ability to operate with professionalism and discretion. Handling confidential and sensitive information with care
- Preferable but not essential: Office and/or administrative support experience
- Preferable but not essential: People management of junior colleagues
- Preferable but not essential: US experience or collaboration with US colleagues
Job requirements
- Work from our Central London office
- Core working hours are 08.30 - 17.30 with flexibility to support Exec needs out of hours as required
- Successful applicants will need to have the right to work in the UK; while it is possible for us to sponsor work permits, this may not be the case in all circumstances
