Join our dynamic team as a Faculty Executive Personal Assistant, where you'll play a pivotal role in delivering impeccable administrative support to our distinguished Faculty Executive members. This role involves collaborating closely with the Dean, Heads of School, and Faculty Operations Manager to ensure the smooth flow of operations.
About the role
Your responsibilities will span a range of tasks, including the preparation and distribution of management information, as well as the efficient coordination of meetings on behalf of the Faculty Executive. As the anchor of our administrative efforts, you'll work in partnership with the Faculty Operations Manager to establish and maintain administrative systems that facilitate our Faculty in achieving its objectives and desired outcomes.
A significant part of your role will involve engaging with various functions across the university, from Finance to HR, to ensure seamless processes. With your proactive approach, you'll ensure timely completion of tasks and support Faculty Executive members in meeting their commitments. As our Faculty Executive Personal Assistant, you'll be the driving force behind our internal School/Faculty meetings, managing logistics, documentation, and follow-up actions. Your strong organisational skills will enable you to oversee diary management for the Dean and Heads of Schools, as well as travel arrangements and hospitality coordination.
About you
You are able to thrive in a dynamic office environment, with a natural flair for multitasking and agility. You are skilled in Microsoft Office, with ability to compile agendas and capture minutes. Your can handle sensitive data with discretion, coupled with strong planning skills to meet deadlines. Communication skills, both written and verbal, will be critical, while your capacity to work autonomously and collaboratively will drive success. Familiarity with Microsoft Teams and prior experience in the education sector would be advantageous.
