About The Role:
We are looking for a Facilities Assistant for a part-time, office-based position (
3 days per week, typically Tuesday to Thursday). This role will serve as a key point of contact at our London office, supporting colleagues, visitors, and suppliers. Reporting to the Facilities Manager, the position ensures compliance with health and safety standards and supports office operations such as meeting room bookings, contractor coordination, ID issuance, and supply management. It also contributes to delivering a high-quality workplace experience and may support other UK locations remotely or occasionally in person.
How You Will Make An Impact:
- Managing the JSM helpdesk portal where colleagues raise requests for building services in London. Meeting and greeting visitors, new starters and contractors. Answering intercom and allowing access for visitors, contractors, and deliveries.
- Completing requests and issues ranging from building maintenance, furniture repairs, room set ups, DSE issues etc. Assigning jobs to other members of the Facilities Team, monitor SLAs and produce monthly reports for the Facilities Management Team.
- Collaborating closely with contractors (both hard and soft services) conducting contractor inductions, supervising and quality checking work, monitoring KPIs, invoicing and contract administration.
- Co-ordinate monthly maintenance person visits and instruct on issues for rectification.
- Ensuring H&S compliance with building maintenance for both planned and reactive tasks.
- Ensuring commercial processes are followed for all tasks.
- Support business with community events, office moves and space planning.
- Use Eptura Space Management programme to keep space plans up to date and conduct physical office moves, helping new starters, new starter inductions, and managing the leavers and transfers’ process.
- Support other Wiley premises remotely and occasionally in person.
- Ensuring that staff and contractor health and safety is compliant. Training to become a First Aider at Work, a site Fire Marshal, and assist with reviewing contractor RAMS and issuing Permits to Work.
- Conduct monthly physical site inspections including office maintenance, cleaning standards, health and safety, housekeeping. Document these audits, and action any issues, seeing them through to completion.
- Support post room operations including management of couriers
- Deliveries in and out of the office will need tracking and processing for compliance and budgetary purposes.
- Strive to improve delivery standards and look at continuous improvement
- Maintaining general office information sheets e.g. insurance details, first aid and fire marshal information and general office communication to inform colleagues.
- Ensuring facilities department is represented in the most effective and professional way to all Wiley colleagues.
- Other tasks as required by the management team to support operational delivery. Some flexibility needed around days worked dependent on events.
- As the business grows and evolves there may be times that additional duties will be required to support the business. Occasionally there will be a need to attend the office on a Monday or Friday, if so then this would count as one of the three working days.
Qualifications & Experience:
We are looking for people who have:
- A-Levels or equivalent education.
- Experience in a corporate office and facilities management environment.
- First aid and fire warden experience preferred.
- Relevant qualifications in Facilities Management or health and safety (e.g., IOSH or NEBOSH), or willingness to undertake training. (Preferred)
Skills & Competencies:
- Excellent written and spoken English.
- Strong numeracy, literacy, and communication skills, with the ability to compose clear, well-written correspondence.
- Proficient to advanced skills in MS Office, particularly Excel, for data analysis and reporting.
- Self-motivated with the ability to manage a dynamic workload and shifting priorities.
- Physically capable of manual tasks, including meeting room setups and office moves.
- Strong stakeholder management and commercial awareness, especially when working with contractors and colleagues.
Note: This is a part-time position and the salary will be pro-rata, ranging from £20,000 to £21,900 per annum.
