The Facilities Coordinator will help us maintain a secure and well-functioning work environment by co-ordinating activities inside the offices. Duties will include but are not exhausted to making sure that health and safety standards are met and for repairs to be actioned when needed.
This role will report to the Head of Facilities and will help with the daily business and recurring tasks such as maintenance of the building by overseeing repairs or contracting maintenance services as needed with a focus on environmentally friendly solutions.
The successful candidate will have experience working within a customer centred environment, displaying team work - yet capable of lone working when needed. The candidate will be self-motivated, have good communication skills, be IT literate and have the skills to plan and prioritise effectively.
Key Responsibilities
- Co-ordinate the overall services provided within the facility focusing on short term remedial fixes and planned maintenance using systems such as FixFlo and Maintenance plans.
- Manage Project based assignments such as Office refurbishments.
- Assist the HoF with creating a suitable environment for the purpose and needs of the office
- Use best business practices to manage and reduce operation costs ensuring comparison quotes where possible
- Organise the maintenance of the building by overseeing repairs or contracting maintenance services as needed with a focus on environmentally friendly solutions that save money over the longer term.
- Maintain the company mobile phones for new starters and leavers. Present alternative contracts to ensure we get the best market rate.
- Act as Superuser and Escalation point for the Egencia travel booking portal.
- Respond to emergency situations or other urgent issues involving the businesses
- Raise purchase orders as required when budget approval has been provided or acceptable levels for Facilities to approve.
- Carrying out such other duties reasonably falling within the scope as maybe required by the company
- DSE Assessment co-ordination and management
- Cover for Reception throughout holidays and sickness absence periods
- In conjunction with the handyman prioritise workload

- Experience in business management, facilities management, or a related field

- Familiarity with building upkeep, structural issues, and grounds maintenance

- Flexible scheduling
- Full driving licence is essential as regular UK travel maybe required
