Role description:

Arcadis is looking for a Global Project Manager (Workplace) Reporting to the Global Workplace Projects & Operations Director, the purpose of this role is to lead on all of our workplace construction projects globally whilst leading and managing the day to day delegation of project management activities throughout the broader in-country workplace PM team. The successful candidate will be required to work closely with our Global Design Manager, Global Cost Manager and Global Digital team. The successful candidate will be expected to build close working relationships with Workplace and Facilities Management leaders to ensure workplace operations are considered from design through to handover and operating the asset. The Global Project Manager is responsible for ensuring that all projects, as far as reasonably practicable, are delivered on time, to budget and to a high quality. This role will also be required to capture regular project updates (actions, risks, minutes etc.) and lead and advise on best practice matters related to project delivery within our functional program tools.

Role accountabilities:

  • Oversee the facilitation of projects Globally and associated administration from inception to occupation and operation
  • Appoint an experienced professional team locally and ensure alignment to the projects delivery process outlined in the sub-function guide
  • Monitor team and Global supplier performances regularly against pre-agreed Key Performance Indicators (KPI’s)
  • Line manager to the in-function project management and delivery teams.
  • Lead on the preparation of project recommendation together with high level budget estimate, schedules and scope
  • Monitor all projects against the pre-defined gateway and business case functional processes, including, but not limited to the monitoring of test-fit production and project cost estimates. Liaise regularly with CRE and portfolio management teams to ensure sufficient time is allowed for to mobilise and deliver projects.
  • Lead and interact with design professionals, consultants, building owners and internal stakeholders (Information technology, audio visual, security, procurement, facility management and business groups) to ensure that design intentions are achieved including arrangement of meetings, information and documentation distribution
  • Alongside the local delivery team, lead the engagement of the General Contractor procurement and alignment to the quality and design aspiration from our Global design guidelines
  • Review project plans and specification and comment on design, scheduling, costs saving measures, omissions, errors, discrepancies, potential construction problems etc
  • Prepare recommendations for appointment of consultants, contractors or the purchase of goods
  • Work closely with the Global Cost Manager to ensure that actual costs are recorded against budgets and any commercial risks are discussed with the Global Projects Director.
  • Alongside the Global Cost Manager, develop a programme level cashflow forecast to support the quarterly CAPEX review. Liaise regularly with the function finance lead to ensure all information is accurate at point of submission
  • Facilitate internal approvals of architectural and engineering documentation
  • Undertake formal value engineering reviews of project prior to formally bidding
  • Develop a good understanding of Global construction contracts and negotiate terms of agreement
  • Obtain approvals from building owners and Landlords alongside CRE teams
  • Monitor project construction to ensure completion is on track with respect to time, costs, quality and scope. Update Smartsheets regularly with project specific data to allow reporting upstream.
  • Review design change requests with project delivery team and escalate any significant changes to the Global Projects Director.
  • Lead and facilitate in key project meetings including pre-start meeting, project risk / procurement meeting, completion meetings etc.
  • Ensure projects are successfully closed out and Operations are engaged throughout the project. Hold regular meetings with operations to ensure full alignment between the two sub-functions.
  • Lead on business migrations and decommission of vacated premises.
  • Effectively manage scheduling and programming of multiple workplace projects from inception to occupation, identifying key stakeholder milestones.
  • Review/approve payments that are aligned to budget but ensure any changes or overspend are approved by the Global Projects Director.
  • Responds positively to diverse viewpoints and incorporates different perspectives into decision making.
  • Review our global standards and ensure these remain relevant as delivery and technology processes develop.
  • Aligns projects strategy with our functions including legal, HR, tech, sustainability.

Shared Accountabilities:

Working with the Location Owners (CRE Directors/Managers) to ensure budgets and time forecasts are built currently and provide required confidence to the global function

Working closely with the Global Design Manager and Global Cost Manager to ensure early designs and test-fits are reviewed from a technical and budgetary and delivery feasibility perspective.

Consulting with the Global Projects Director to ensure that projects are delivered in line with the agreed parameters set out within the business case and in line with defined process maps. Ensure updates are provided across all projects on a regular basis.

Qualifications & Experience:

  • To be successful in this role, you will need a bachelor’s degree in project/construction management, engineering, architecture or equivalent.
  • You will need to demonstrate significant industry experience in either a design and construction services or corporate real estate / workplace environment.
  • You will need to be able to show experience being customer service focused, have a track record generating and executing design and construction services, been able to align project delivery to budget with knowledge of construction planning and programming, along with experience and knowledge of construction & lease contracts, products, and engineering systems within a MEP fit out environment.

Additional preferred experience:

  • Knowledge of building codes, regulations and approval process
  • An ability to plan ahead and see the big picture.
  • Agility and ability to work on multiple projects simultaneously
  • Proficient in Microsoft Project, and other MS Office programs
  • Identify, analyze, manage/mitigate risks
