Persona: Agile with a requirement of 1-2 days a week attendance to the office, but may increase depending on business needs.

Salary: London Weighted £30,455 pa and Outside London/Regional £26,296 pa dependant on experience and location

We are seeking to hire a Governance Assistant with significant experience gained with a governance or company secretariat environment. The role holder will act as the primary key point of contact for handling enquires and the interface between the Governance Directorate and Group Board/Committees as well as other key internal/external customers and stakeholders as required. This role will enhance the capacity of the secretariat and support activities for our regulatory in-dept assessment and governance review.
Key Responsibilities / Deliverables
Team Contribution
- Contribute to the governance team’s achievement of its objectives, whilst operating in line with Trust’s values and delivering excellent customer service at all times
- Be a proactive team member, consistently aiming to improve customer satisfaction and help meet key performance indicators (KPIs).
- Handle basic day-to-day queries from stakeholders, ensuring issues are resolved effectively or referred to the appropriate team member.
Administrative Support & Business Processes
- Responsible for the provision of high quality administrative services to the Company Secretary and the governance team including general administration, office communications and correspondence, update of governance related documents/polices, diary management and travel scheduling as required.
- Demonstrate levels of personal judgement as required to ensure the effective running of the Governance Directorate
- Act as the key point of contact between the Governance Directorate and Group Board/Governance Groups/Committees in order to ensure the efficient delivery of governance support services including: point of contact for Board member enquiries and information sharing, ad hoc administrative support for Board members, overseeing the Board/Governance Groups/Committees member onboarding induction process , management of the corporate agenda, maintenance of the Board members website or similar, minute taking of Board level meetings and committees if required; delivered with the highest levels of customer service and confidentiality at all times.
- Being able to attend sites, when necessary, must be flexible to travel overnight.
Collaboration with Stakeholders
- Work closely with Governance Officers, other colleagues and key stakeholders both internally and externally, ensuring effective communication and collaboration.
- Be the first point of contact for internal and external queries or concerns, addressing them according to defined policies and procedures.
Compliance & Governance
- Ensure that all work complies with governance standards, statutory, and regulatory provisions relevant to the Trust’s operations.
- Follow established procedures to mitigate risks in areas under the jobholder’s control, contributing to the maintenance of a secure and compliant working environment.
Record Keeping & Systems Management
- Maintain and update relevant Trust records and systems, ensuring accuracy and up-to-date information.
- Maintain and make recommendations for the improvement of the necessary relevant Trust records and systems to maximise efficiency and effectiveness across the Governance Directorate
Skills & Experience Required
- Strong communication skills with the ability to manage relationships with internal and external stakeholders.
- Ability to manage multiple tasks and prioritize effectively in a busy environment.
- Familiarity with basic administration processes and systems.
- Commitment to providing excellent customer service.
- Ability to work both independently and collaboratively within a team.
- Knowledge of statutory and regulatory requirements in an administrative context is a plus.
- Must be flexible to travel overnight.
