Location: Plymouth

Salary: £24,000 - £26,000 per annum D.O.E

Join one of the biggest and most respected national eCommerce successes in our industry. cmostores.com is an online supplier of building materials, sold across multiple eCommerce stores. We have an exciting opportunity for a highly motivated and driven HR Administrator to join our HR team.

As a HR Administrator, you will deliver an effective and competent level of administrative support to the HR department, support the HRBP and Director of HR across the full range of HR work, and consistently deliver a level of service that promotes effective working relationships throughout the business.

Key Accountabilities & Responsibilities:

People Administration:

  • Set up new employees on the HR System and maintain accurate recording of employee data.
  • Maintain the HR Support inbox queries along with the wider HR team, to support the employee lifecycle including new starters, inductions, annual leave, flexible working, family policies and leavers.
  • Analyse data to support statistical reports on HR information, eg starters, leavers, turnover, sickness absence, equal opportunity monitoring.
  • Support HR Team with ER issues and attend meetings as a note taker when necessary.
  • Create and adapt new forms for the HR department when required.
  • Responsible for keeping notice boards updated and ensuring appropriate information and communication is displayed at all times
  • Record and monitor employee absence, ensuring appropriate documentation is completed by managers.
  • Liaise with and support Payroll on amendments as necessary.
  • Ensure Payroll data includes changes to staff terms and conditions and act on management instructions and staff requests in a timely fashion.
  • Responsible for regularly monitoring the maintenance logs and suggestion logs, logging suggestions and providing feedback to employees

Recruitment & Onboarding

  • Administration of Workable. Supporting the HR Team with creation of job adverts, job applications which involves regularly checking CVs, liaising with hiring managers and conducting telephone screening if appropriate, and responding accordingly through the interview journey
  • Deal with recruitment enquiries in a pleasant and helpful manner, communicating relevant information to colleagues and referring to others as appropriate.
  • Support the interview, selection and assessment process when required.
  • Administer all paperwork for new starters to include ensuring IT request forms are completed by department heads.
  • Support the HR Team with the induction of new starters into the business.
  • Responsible for ensuring all staff are legally eligible to work in the UK and all employee reference requests have been carried out. Ensure appropriate paperwork reflecting changes to status, pay and benefits are completed.
  • Support HRBP with any Sponsorship applications as necessary.
  • Support HRBP with apprenticeships liaising with the awarding body/college as necessary

Training:

  • Keep CMOStores Training Academy up to date and add new starters and ensure they are set up with relevant training courses. Removing leavers as necessary. Working with other departments to ensure the platform has relevant content.
  • Carry out research and source external training providers, collate information and refer to HR Team for approval.
  • Issue appropriate documentation to new training providers for completion, and request details of terms and conditions, liability insurance and competence evidence where appropriate.
  • Distribute and collect attendance forms, and evaluation forms from all training delivered, and record on training matrix.
  • Book rooms and ensure they are fully equipped for training to take place, and liaise with individuals, and their line Managers/Supervisors ensuring information is communicated and attendance maintained

Health & Safety

  • Support HRBP with H&S forums and note take as necessary.
  • Responsible for arranging H&S training - first aid, mental health first aid, fire warden, IOSH, COSH etc.
  • Ensuring all tickets are in date for our warehouses e.g. forklift trucks, electric pallet trucks
  • Arranging Occupational Health Assessments as necessary.
  • Arranging annual H&S assessments with Peninsula and keeping action register up to date.
  • Supporting Group HRBP and Group Warehouse Manager with any H&S Initiatives

General

  • Supporting projects as and when required.
  • Book travel or accommodation for the Senior Management Team when necessary.
  • Support with organising events i.e. Christmas parties
  • Responsible for ownership of tasks and have a flexible/adaptable approach to their work in order to meet targets or various deadlines.
  • Undertake any relevant research, development or training as required.
  • To carry out other appropriate delegated duties as required

Requirements

Essential

  • Experience of working in an HR administrative environment or similar, and working with computerised data systems
  • Commitment to and focused on quality, promotes high standards in all they do
  • Consistently thinks about how their work can support and assist colleagues to make the business a success
  • Working knowledge of Microsoft Office including Word and Excel
  • Understanding of Data Protection legislation
  • Clear communicator with good writing, data entry and telephone skills
  • Ability to work effectively as part of a team
  • Problem solving skills
  • Able to work on own initiative, organising and prioritising own workload to set deadlines
  • Maintain confidentiality and trust at all times
  • Good time keeping
  • Flexible approach to work

  • GCSE, or equivalent, English and Maths grade C or above
  • CIPD level 3, or studying towards


Desirable

  • Experience of working within a Human Resource, Recruitment or Training environment
  • Experience of using HRIS
  • Excel qualification
  • Health and Safety qualification
