About The Role
Knight Frank is looking to hire a HSE Coordinator/Administrator to join our Risk and Operations department, based in our Baker Street HQ on a 12 month Fixed Term Contract with potential to go permanent.

Role
This Administrator / co-ordinator role is primarily aimed at supporting the HSE team to manage the wide range of internal or external enquiries and requests for support and advice it receives. The co-ordinator will be responsible for ensuring we maintain up to date information databases and track the timeliness of responses, organise and support meetings. The ideal candidate for this position must be proactive with a willingness to learn and excellent administrative and organisational skills. They will also be able to work with large and diverse requests and amounts of data in a face paced environment.
Responsibilities
- Maintain various databases, and admin tasks including:
- Formatting documents, and databases including excel and word.
- Converge – used for tracking compliance related work raised by the business, allocating requests, dealing with simple queries, ordering PPE and arranging training. You will also ensure we meet our SLAs around response times.
- Maintain the office database – used for logging and tracking all aspects of our Sales and Regional offices. Including HSE folders and structure.
- Maintaining Riskwise our compliance database – keeping the database up to date
- Inputting and gathering environmental data ensuring it is correctly recorded. Creating monthly repots
- Downloading and saving information as required from various supplier portals
- Assist in the coordination and management of meetings including creating appointments, room booking, invites, agenda’s, presentations, minutes, and attendance records.
- Supporting the operation of our BSI, and Assurity Internal audit programme, for 45001 and 14001, including the management bookings, scheduling of pre-audits and audits. Ensuring reports downloaded and added to Riskwise, actions are assigned.
- Supporting the HSE Manager with gathering and inputting environmental data including utilities, waste, paper and other information onto Riskwise and spreadsheet’s.
- Preparing statistical analyses and monthly and quarter reporting data
- Performing other general administrative and support tasks as directed to support the operation of the HSE team.
Key Experience Required
- Experience of the property sector (desirable)
- Experience in a health and safety / environmental administrator role
- Excellent written and verbal communication skills, including minute taking and action logs.
- Microsoft Office and Database administration
- Good IT skills, understanding of excel formula and pivot tables
