Purpose

As the Office Manager at ACT, you’ll be at the heart of our operations and the face of our newly refurbished

office. This is more than just an administrative role — it’s an exciting opportunity to help shape the

experience of everyone who walks through our doors. From leading the day-to-day running of the office to

supporting senior leadership and driving improvements in how we work, you’ll play a key part in creating a

positive, efficient, and professional environment. With an upcoming office refurbishment project underway,

you’ll also take on a central role in delivering an inspiring and functional workspace that reflects ACT’s culture

and ambition.


Key Responsibilities

  • Be the face of ACT — creating a warm, polished, and welcoming experience for all employees, visitors, and clients, helping to bring our company culture to life.
  • Lead on the coordination and delivery of our exciting office refurbishment project, supporting the creation of an inspiring and functional space that reflects ACT’s culture and ambition.
  • Take full ownership of the office environment, ensuring the workspace is always clean, well-organised, and fully operational — from meeting rooms to communal spaces.
  • Manage all office-related suppliers and service providers, including cleaners, maintenance teams, and building management, ensuring high standards and cost-effectiveness.
  • Support health and safety compliance by coordinating risk assessments, maintaining first aid kits and fire safety procedures, and managing DSE checklists and evacuation plans.
  • Deliver a smooth onboarding experience for new joiners, including desk setups, access cards/fobs, IT hardware, and welcome materials — and coordinate all office elements of offboarding processes.
  • Manage company IT assets — including laptops, mobiles, and peripherals — overseeing configuration, asset tracking, maintenance, and replacement schedules.
  • Provide first-line IT support to staff and escalate issues to external IT providers as needed, ensuring minimal down time.
  • Drive office culture and engagement by supporting team events, social initiatives, birthdays, and company-wide moments that bring people together.
  • Oversee meeting room coordination, ensuring spaces are appropriately booked, prepared, and equipped for internal meetings or external guests.
  • Monitor and track office expenditure, manage supplier invoices, and work closely with Finance to ensure budget-conscious decisions are made.
  • Support internal communications and provide ad hoc administrative support to the wider business and senior leadership where required.


Must-have:

  • Proven experience in an Office Manager, Administrative, or Workplace Operations role.
  • Confident using IT systems and tools — including cloud-based platforms — with the ability to troubleshoot basic tech issues and coordinate with external IT providers.
  • Demonstrated experience in planning or supporting internal events, team socials, or cultural initiatives.
  • Exceptional organisational skills and the ability to juggle multiple priorities while maintaining a high attention to detail.
  • A natural people-person — warm, proactive, and approachable, with excellent communication and interpersonal skills.
  • Comfortable managing office suppliers, coordinating facilities, and overseeing daily office operations.
  • Strong sense of initiative, with the ability to identify and address what needs doing without waiting to be asked.
  • Passionate about creating a positive, inclusive, and well-run workplace where people feel welcomed and supported.
  • Professional phone and front-of-house etiquette, with a polished and confident manner when greeting visitors or external partners.


Nice-to-Have:

  • Experience in a construction, design, or property-based working environment.
  • Familiarity with platforms such as Google Workspace, Procore, Xero, or Jira.
  • Awareness of basic health & safety responsibilities (e.g. DSE assessments, first aid, fire warden duties).
  • Exposure to onboarding processes and internal systems set-up for new joiners.
  • Experience collaborating with People or HR teams on staff engagement or office wellbeing initiatives.
