We are looking for an Operations Analyst to work for the Global Corporate Real Estate (CRE) team, reporting directly to the Senior Director of Real Estate for EMEA. The CRE team is one of the core corporate functions supporting a fast-paced growing firm.

The ideal candidate is to provide support in the planning, execution, monitoring, and control of projects and all day-to-day CRE activities.


Responsibilities include, but not limited to:

  • Project Support for the EMEA region
  • Project cost tracking budget vs actual, including invoice audit and processing
  • Management of Box shared project files
  • Dashboard support for all active office build-out projects in flight, including meeting minutes
  • Project close-out cost dashboard metrics - historical data by trade/location
  • Leasing / Office Location Support for the EMEA region
  • Maintenance of active office list / central points of contact
  • Lease event monitoring
  • System data maintenance
  • Manage CRE content on Connect pages
  • Allocations and Budgets for the EMEA region
  • Quarterly communications / go-to contact for all EMEA space allocations
  • Management of floor plans
  • Assist in implementation of Nuvolo allocations and budgets
  • Assist with year-end budget exercise
  • Space Management System Support
  • Administrative rights on Space Management system
  • Dashboard reporting for utilization metrics in conjunction with Space Management team
  • Back up for any training needs when a new office is opened
  • Premises Security
  • Administrative rights on global premises access security system
  • Back up for any support needs, regionally
  • Maintain dashboard of location attendance trend reports
  • General CRE
  • Assist with KPI builds and ongoing metrics
  • Document processes and create workflow and standards guides to distribute globally
  • Ad-hoc reporting and miscellaneous requests


Requirements:

  • Some prior experience in Office or Facility Management / Administrative experience.
  • Advanced proficiency in Microsoft Excel, Power BI, Project (or similar PM tool), Outlook, Word, and PowerPoint.
  • Excellent communication skills, both written and verbal.
  • Experience in capturing and presenting workflow information and process maps.
  • Strong organisational and time management skills with the ability to plan and prioritise workload.
  • Strong project management skills from planning to implementation.
  • High degree of accuracy and attention to detail.
  • Ability to establish and maintain effective working relationships with stakeholders and vendors.
  • Brings energy, creativity, positivity, and a “Can-do” attitude.
  • Strong problem-solving skills.
  • Self-motivated, tactful, and a great team player.

  • Perform other related duties as required.
