We help retailers to manage and validate green claims, so they can avoid the risk of greenwash and harness claims data with confidence throughout the customer journey. Provenance's platform and framework enable multi-brand retailers and their supplier brands to comply with regulations, share validated data efficiently, and future-proof their market share. Today, more than 375 leading retailers and brands are using Provenance to manage their green claims.
We're looking for an organised operations assistant to help us manage the day-to-day running of the company. This is an exciting opportunity to join a rapidly growing SaaS startup creating systemic change in the world and a role with a high degree of autonomy and flexibility.
Responsibilities
- Operations
- Be the lead for onboarding new starters and offboarding departing employees
- Project lead our annual carbon reporting process bringing in team members where required
- Support the Finance manager with ad hoc queries from the team, such as purchasing of new equipment, billing queries and operations inbox monitoring
- Help ensure that our people function runs smoothly and review our benefit offerings periodically
- Take charge of Provenance's security setup to ensure that we are compliant with security policies
- Create and manage asset inventory, documenting all company equipment purchased
- Finance
- Ensure supplier payments are made in a timely manner
- Assist Finance Manager with month end responsibilities such as chasing up missing invoices/receipts and understanding the workings of the monthly accounts to be able to own parts of the process
- Assist with expense and spend approvals
- Assist with financial reporting internally and for investors
- Assist with ad hoc finance queries from the team
- Help to improve finance function efficiency by reviewing current software offerings and seeking out potential new time saving solutions
- Administration
- Support our CEO and leadership team members with arranging customer meetings and organising team events
- Support our Culture committee and our leadership team in ensuring Provenance is a positive and inclusive workplace and individuals feel celebrated
- Support our Culture committee with organisation of quarterly and ad hoc team events, which includes ordering lunches for the team, sending invitations, managing sign-ups and booking venues
- Ensure that the office has sufficient supplies of food and beverages as well as all equipment necessary for employees to do their jobs
- Keep the company Notion page up to date with relevant information about the company and ensure that information is centralised in one place
- Support the hiring process by creating job descriptions and assisting with communications to potential candidates
Requirements
REQUIREMENTS
- You have great communication and interpersonal skills
- Financially astute, self-motivated, organised and able to meet tight timelines
- Passionate about working with a business with a strong social mission and looking for a positive purpose in the company they work for
- Outstanding organisational and time management skills
- Comfortable taking initiative and managing competing deadlines
- Experience supporting business processes and company operations
- Have excellent written and verbal communication skills
- Comfortable working both autonomously and as part of a fast paced team

Salary: £28-32k base salary, depending on experience
Hybrid working: Minimum 2 days in office per week
Flexibility on number of days per week: 4 or 5 days per week
