As a Business Operations Assistant you will work in a fast-paced environment providing support across a range of Business Operations functions including Reception, gaining a broad range of skills and experiences along the way. You'll be a team player with a keenness to work together and support others, a flexible approach to work and a willingness to learn and develop new skills.

Our Team
Our Manchester Business Operations team currently consists of 2 Business Operations Assistants reporting into the Business Operations Team Leader. This forms part of the wider Business Operations team including Facilities & Reception.
Our Opportunity
As a Business Operations Assistant, you will deal with all Reprographics, Postal and Archive services.
Reprographics
- Printing
- Scanning
- Photocopying
- Binding documents using appropriate equipment
- Maintenance of all MFD Printers
You will also be responsible for ensuring any work sent out for external completion is received back on time and completed to a high standard.
Post Room
- Receive and action incoming job requests through a centralised computer system
- Arrange courier deliveries using different methods
- Manage all incoming post and distribute to relevant person
- Manage outgoing post using online system for tracked deliveries advising senders of the most cost effective and safe methods
- Provide the finance department with daily chargeable deliveries
- Carry out floor checks and replenish stationary/papers hubs
- Check unreferenced mail on the firm's computer system
Archiving
- Manage the process and retrieval of all incoming and outbound files and deeds on the firm's database
- Manage urgent deliveries ensuring they are received within the agreed timescales
- Maintain and audit all records on the system
- Perform physical audits of deeds in the office
- Ensure the office adheres to all archive procedures advising clients with record searches
- Manage the leaver process and file reallocation
You will also be responsible in supporting the wider Business Operations team and carrying out other general office duties such as reception support and assisting with office/desk moves and occasionally meeting room set ups. From time to time there may be changes in service requirements or ad hoc and annual project work that the post holder would assist on. Remote assistance to other offices will be provided as and when required ensuring a seamless service for clients.
You
Ideally, you will have previous experience of working in a mail, reprographics and archiving role. Experience in a professional office environment is preferred. You will need to be a team player who enjoys collaborating with and supporting other members of the team. You must be able to communicate effectively at all levels and have the ability to listen and interpret instructions.
Taking pride in your work and understanding the need for quality and attention to detail as well as positive attitude and professional manner are important. A client focused 'can-do' approach to tasks, with an ability to use your own initiative to ensure delivery is key. You will need to be flexible and willing to work overtime if required and be a reliable team member and an excellent timekeeper. You will need good IT skills, with a working knowledge of Microsoft packages (especially Outlook email) and be comfortable learning new systems as required.
