Job Purpose
As a Site Maintenance Administrator, you will manage an element of Facilities Services. You will supervise internal or external staff of facilities maintenance workers who perform facilities and/or maintenance service and repairs. You will be familiar with standard concepts, practices, and procedures within a particular field.
Job Description
As a Site Maintenance Administrator, your job will involve:
- Planning and supervising the implementation of the day to day operations.
- Scheduling periodic inspections or tests of installations/ equipment to prevent malfunctions and service interruptions in the facilities.
- Training workers in his/her specific area (e.g. equipment repair and structural maintenance), using operating manuals, work orders, and blueprints.
- Checking the prevention of risk and the safety of the agent during the operations and the usage of PPEs.
- Providing metrics and documents operations through procedure and process.
- Monitoring the correct execution of contracts with suppliers and third-party service providers.
- Keeping up-to-date with regulations and may ensure compliance from external contractors.
Main Responsibilities
As a Site Maintenance Administrator, your main responsibilities will include:
- Overseeing and managing specific building systems, including managing 3rd party contractors - primarily but not limited to A/C, CCTV, lifts, BMS, Fire Panels, lighting and blinds, gas.
- Reviewing Contractor Documentation/Certification - risk assessments, method statements, SOPs, training records etc.
- Raising Contractor Work Schedules (Control of Work). As job owner, you will update COW log, raise card for COW board, schedule in work, review RAMS, issue any keys, ensure any additional ID pass access required is in place, complete TBT, monitor the work, ensure site is left safe and tidy, close off job on completion, noting any further remedials, action as required.
- SFG20 - Monitor SFG20 for any legislative changes and ensure contractor work schedules are updated accordingly.
- Ensure PPM is kept up to date with any additional required tasks, ensure contractor work schedules are uploaded onto system, and monitor efficacy.
- Manage required changes to A/C system, creating schedules and trouble-shooting faults.
- Manage site CCTV system, check all cameras fully operational and required coverage in maintained, and examine recorded footage as required.
- Assist as required with B3 lighting control system to reset, dim (DSE) or trouble shoot problems. Log changes in Master Log.
- Assist maintenance teams with task planning - trouble shooting, extra pair of hands.
- Monitor the fire panels and liaise with contractor to rectify faults. Assist with weekly checks as required. Assist if required during an evacuation to reset the panel and liaise with call centre and Fire Brigade. Ensure panel and associated fire plans are updated with changes to building infrastructure.
- Raise and issue permits for Facilities managed work in COW system, participate in Tool Box Talk with Person in Charge and all relevant work party personnel, monitor job progress, close out tasks.
Are you meant for this role?
As a Site Maintenance Administrator, You Will Have
- UK Driving Licence.
- Experience in hard services in a large building or multiple sites.
- Experience in liaising with or managing contractors.
- Knowledge of local laws and regulations.
- Must be computer literate and comfortable using multiple systems, with proficiency in Office 360 packages.
- NEBOSH or similar HSE Qualification is preferred.
While the job is not primarily 'hands on', this will be required on occasions.

Additional Information
This role is full-time and will be fully office based, Monday to Friday, with the option of opting into the Early Finish Friday scheme.
