At VWFS UK we are on an exciting journey and we are looking for a
Supplier Specialist to join our newly redesigned Supplier Management team within Customer Operations on a permanent basis to coordinate on key relationships and support our Outsource Partners.
Reporting into the Supply Manager, this role will provide support to the Supplier Management Team in Customer Services OR Collections & Recoveries. The Supplier Specialist is responsible for a range of activities critical in developing supplier performance, the provision of early stage triage and over all account support on a wide range of supplier activities.
The role holder will have daily contact with core Customer Services OR Collections & Recoveries outsourced partners such as Everyday People Financial Services (EPSF) and Arvato, and other suppliers from time to time as needed that are integral to the day to day running of Customer Operations.
You must be able to proactively establish and maintain relationships with any Partner we work with and your fellow Supplier Management colleagues.
Responsibilities
- Take full ownership of supplier queries, using initiative to resolve queries within first contact or manage to completion
- Keep knowledge of third party solutions up to date in order to support Supply team with regular horizon scanning and service roadmap development
- Understand the different allocation of workflow in order to effectively triage and manage Customer Services OR Collections & Recoveries queries where required. Be on point for early stage escalations and triage through span of control
- Support the Customer Services Supplier Managers in review meetings, adding value and insight to develop the account performance (e.g. Monthly and Quarterly Business Reviews)
- Prepare regular reports to measure supplier performance so suppliers can be held accountable for their service delivery, measure performance to contractual SLAs, as well as to drive continual improvement
- Support and coordinate on supplier management actions from VWFS committee outputs e.g. Customer Operations Business Area Reviews (COBAR).
- Provide clear and concise process expertise on a wide range of processes and be recognised by others as a point of contact for advice, guidance and process improvement
- Identification of manual and inefficient processes, working with the relevant department/teams to reduce and automate wherever possible
- Be proficient in multiple systems, both internal VWFS and also platforms provided by third party suppliers, in order to deliver great customer service
- Work to agreed service levels, quality targets and operational metrics as determined by the Supply Manager relating to all aspects of customer service provision and customer experience e.g. maintaining the customer query inbox within SLA and quality assurance expectations
- Analysis of data on the operation and customer queries, looking for trends and opportunities. This will be used as an early identifier of issues with products or services and to identify opportunities for continual improvement. Be able to present back analysis in a clear and meaningful way
- Coordinate on Customer Services OR Collections & Recoveries Supplier invoicing processes to ensure timely completion and avoid rogue payment triggers at all times
Skills And Experience
We are looking for someone who is passionate about working collaboratively in the interests of driving great customer outcomes and service delivery to customers. Someone who understands the importance of a right first-time approach, improving customer satisfaction by reducing sludge from our processes and improving operational processing costs.

- Call centre and/or operations centre experience
- Full PC literacy essential, including Microsoft Office products (Excel, PowerPoint and MS Teams)
- A track record of operational or supplier management support
- An early understanding of procurement, purchase orders and invoicing procedures is advantageous
