We are now recruiting for a Team Administrator to support the Bedford depot within our Rolling Stock business. Reporting to the Fleet Delivery Manager, the role of the Team Administrator is to provide effective and efficient administration to the depot operations.

You‘ll make a difference by ….

  • Employee Administration & Onboarding: Handle onboarding, SOM codes, expenses, grade changes, role requisitions, inductions, medicals, and serve as the first point of contact for new employees.
  • Administrative & Secretarial Support: Provide general admin support including diary management, document preparation, mail handling, and maintaining office supplies and files.
  • Meeting & Travel Coordination: Schedule meetings, book rooms, arrange catering, taxis, travel, and accommodation for team members.
  • Communication & Reception Duties: Manage calls, greet visitors, verify credentials, control access, and handle incoming/outgoing packages.
  • Team & Depot Support: Organise team meetings, events, and support depot operations including job card updates, equipment purchases, and data input into systems like MMS and One SRM.
  • Reporting & Documentation: Prepare reports, presentations, spreadsheets, and maintain trackers and local databases to support performance and management teams.
  • Health, Safety & Environmental Compliance: Follow HSEW policies, implement safe systems, use PPE, and take responsibility for environmental and safety practices.

  • Track Record in Administrative Support: Experienced in providing comprehensive support to multiple stakeholders, including diary management, travel coordination, and expense processing.
  • Highly Organised & Self-Motivated: Demonstrates strong organisational skills with the ability to prioritise tasks effectively and meet objectives independently.
  • Technically Proficient: Skilled in Microsoft Office Suite, including Excel, PowerPoint, Outlook, and Word, with a solid understanding of digital tools to streamline administrative tasks.
  • Adaptable & Collaborative: Possesses a flexible, proactive approach with a strong ability to work both independently and as part of a team.
  • Detail-Oriented & Professional: Maintains high standards of accuracy and presentation in all aspects of work.
  • Exceptional Communication Skills: Confident and articulate communicator with a professional telephone manner, adept at handling queries and requests from employees, managers, and external clients.

Preferred:

  • Advanced Excel and SharePoint working knowledge
