Description
We are looking for an experienced secretary to join our Tronc team. You will be able to demonstrate that you can deliver professional secretarial support to a Partner and Senior Management Team as well as supporting the wider team and Tronc clients. This role will closely support approximately 40 people in the Tronc department.
Key Responsibilities
- Diary Management for the Partner. Client creation/anti-Money Laundering procedures - preparing of Letters of Engagement, client set-up forms etc.
- Preparing first draft letters and other documents including minutes of meetings for approval/ amendment by Partners.
- Raising monthly bills for 370 clients.
- Ad-hoc administrative work. Full training will be provided.
- Partner/Senior Management Team meeting room bookings.
- Preparing routine responses to clients.
- Triaging emails.
- Managing Employee Information Request queries.
- Updating CRM database with contacts.
- Relaying messages via e-mail.
- Organising courier bookings.
- Inputting Partner's expenses on a monthly basis.
- Arranging travel and accommodation.
- Team Support/Administration.
- Contacting IT support when needed.
Skills, Knowledge and Expertise
- Experience in a similar role.
- Experience of working within a Professional Services organisation is desirable, but not essential.
- A team player and willing to help other team members whenever the need arises but also able to work independently and use initiative.
- Ability to develop, maintain and follow defined processes and work within legislative guidelines, ensuring compliance and best practice are maintained.
- Advanced level knowledge of MS Office packages including Word, Excel, Outlook and PowerPoint.
- Familiar with typing and formatting reports – including tables and spreadsheets.
- Ability to communicate effectively both orally and in writing.
- Have a professional telephone manner.
- Effective organisational skills and ability to manage own workload.
- A desire to take an interest in the clients and business.
- Flexible and adaptable approach to work.
- Pro-active and ability to work on own initiative.
- Educated, with a minimum score of 5 or Grade B in English at GCSE.
