About The Role

The Quilter Academy is a place for individuals to work alongside colleagues who thrive to deliver a market leading Adviser Academy to our students and those looking to join the industry and become qualified financial planners. The Academy team is made up of individuals covering a wide range of experience across recruitment, training, and operations / administration. Although we are a remote team, we work as one unit and within a supportive environment. The team’s success is measured by our ability to achieve our headcount target annually. We need to ensure students achieve their desired qualification, are given the appropriate development and skills training, new graduate advisers are appropriately supported to achieve their competent adviser status.

We support and enable new recruits to not only achieve their qualification, but ensure they have a positive experience throughout their journey with the Academy. As part of the Academy Administrator's role there is a wide variety of tasks, ensuring no two days are the same. You will deal directly with students to support any queries, work alongside our recruitment team helping them bring new candidates into the business and support the hub of our business to ensure we appropriately report activity on an ongoing basis.

The role will link and engage with many other areas of the wider Quilter business which will allow the candidate to understand the workings of the business and where the Academy fits in.

To provide an effective administration support service to the Academy Operations Manager and team, and to contribute to the overall success of the Academy through the provision of an excellent support service. The role also provides a key link between students and candidates who are looking to join the Academy.

The role involves various responsibilities and a broad scope of activities. This includes:

  • Managing inbound telephone calls and e-mails from both candidates enquiring about our Academy programmes and from current and graduated students in a timely manner.
  • Working closely with our recruitment team and responsible for booking candidates onto webinars / panel interviews and tracking their progress through the recruitment process
  • Providing operational support in all aspects of a candidate’s journey, processing application paperwork, issuing and collating offer paperwork in a timely manner and retaining within a filing system
  • Updating systems with applicants paperwork
  • Review applicants paperwork to identify anything adverse that may need more investigation and flag these to the appropriate team members
  • Registering students with the examination bodies, registering them on key systems to support their studies, responsible for recording keeping in terms of students’ progress and exam results
  • Liaising with Academy trainers, training providers and other areas of the Academy team in respect of a student’s journey
  • Working with other teams as required of the role such as our onboarding and vetting team
  • Additionally, you may be assigned ad-hoc administration duties and participate in projects as needed to support business requirement or departmental objectives.
  • Support and work as a collaborative team with other members of the Operations function.


About You

  • While previous financial services administration services experience is desirable, it’s not essential.
  • Excellent organisational skills and ability to manage multiple tasks and responsibilities.
  • A good knowledge of excel and word.
  • Ability to follow processes.
  • Excellent attention to detail.
  • Working collaboratively with colleagues, both within the team and across the wider business.
  • Ability to manage workflows within defined timescales.
  • Has a pro-active and confident approach, self-motivated with good interpersonal skills.
  • An excellent telephone manner and written communication.
  • Embrace change and initiate new and better ways of working to delivery positive customer outcomes.
