We are seeking a professional and reliable administrator initially for 4 months, however there is potential that this could be extended.
Due to the nature of the role it is expected that the job holder will be in the office around 3 days each week.
The successful candidate will provide administrative and organisational support to Executive Committee Assistant.
Responsibilities include but not limited to scheduling meetings, arranging travel, handling correspondence, and preparing documents. They may also assist with event planning, database management, and general office duties.
Detailed Responsibilities
- Calendar and Diary Management: Scheduling appointments, meetings, and travel arrangements.
- Communication: Acting as a point of contact for the ExCo EA, managing emails, phone calls, and correspondence.
- Document Preparation: Creating and editing documents, reports, presentations, and other materials using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Meeting Support: Meeting room set up and ordering and collecting lunches
- Visitor management: Registering guests, liaising with reception, and escorting into the building
- Travel Arrangements: Booking flights, hotels, transportation, and creating itineraries.
- Event Planning: Assisting with the planning and execution of events, conferences, and other gatherings.
- Database Management: Maintaining and updating databases, filing systems, and other records.
- General Office Duties: Performing various administrative tasks such as photocopying, scanning, and ordering supplies.
- Project Support: Assisting with research, data collection, and other tasks related to specific projects.
- Relationship Building: Developing and maintaining relationships with internal and external stakeholders.
- Problem Solving: Applying initiative and quick thinking to resolve issues and challenges.
