Administrative Assistant - Adult Safeguarding

The team is responsible for delivering the local authoritys statutory duties under the Social Services and Wellbeing (Wales) Act 2014 and the Wales Safeguarding Procedures 2019.

You will play a key role in supporting the adult safeguarding team with duties to include:

  • Gathering information for preparation and despatch of invitations/agendas;
  • Minute taking
  • Booking appropriate venues;
  • Ensuring that information regarding cancellation of meetings is provided to all parties in good time;
  • Monitoring the timetable for review meetings, ensuring these timeframes are adhered to;
  • Preparation of minutes following each meeting and dissemination within agreed timescales;
  • Administrative work arising from each meeting;
  • Assisting the Service Manager and Adult Safeguarding Team Manager with the collating and monitoring of statistical information.
  • Dealing with enquiries relating to Adult Safeguarding of Adults at risk, when required, made by other agencies and keeping relevant officers informed.
  • Dealing with incoming mail, and responding to any issues that arise.
  • Such other duties of a similar nature and responsibility level as may be required from time to time.

Were Looking For Someone Who Has

  • Experience of providing administrative support to a range of service areas.
  • Experience of arranging and minuting complex meetings, recording accurately and, in appropriate detail, the information shared and opinions expressed.
  • Qualified to RSA Stage III or equivalent in word processing.
  • Good communication and interpersonal skills at all professional levels and with a range of partners.
  • Competence in the use of computers and PC based applications including Microsoft Office.
  • Ability to maintain confidentiality and apply Data Protection principles.
  • Ability to generate creative solutions to work issues.
  • Experience in reviewing, planning and developing systems, processes and procedures that support operational goals and that of partner organisations and making recommendations for change.
  • Experience of implementing service standards and providing support, advice and guidance to staff.
  • Ability to accurately undertake basic financial and numerical calculations.
  • Experience of the development of positive and supportive team working relationships.
  • Experience of working to tight deadlines.
  • Ability to communicate complex information clearly & appropriately, both verbally and in written form.
  • Ability to prioritise effectively under pressure in order to meet service standards.
