Position: Project Administrator

Location: Leatherhead, Surrey

Contract Duration: 8 month contract (may extend)

Rate: PAYE hourly rate

Working Pattern: Full-time, 40 hours/week, Monday to Friday (on-site)

Airswift is currently recruiting on behalf of a leading global engineering and project management company for a Project Administrator to join a dynamic team supporting a major client in the energy sector.

Key Responsibilities:

• Coordinate coffee/food orders and meeting room catering
• Manage seating and furniture arrangements for team changes
• Draft, number, issue, and file project correspondence
• Set up SharePoint access for new starters and visitors
• Arrange transport and logistics for visitors
• Liaise with IT for conference room and general tech support
• Prepare TV monitor and distribute notes for daily toolbox talks
• Ensure office equipment (e.g., photocopiers) is maintained
• Organize business travel arrangements
• Maintain project admin registers (vacation, IT equipment, catering, travel, letter logs)
• Use SharePoint, Word, Excel, and DocuSign for documentation and collaboration
• Support document management activities as needed

Relocation Support:

Assist client personnel relocating to the UK with accommodation, schooling, transport, and other settling-in needs.

Ideal Candidate:

• Proactive and self-starting
• Comfortable engaging with both client teams and internal departments
• Strong organisational and communication skills
• Experienced in administrative support within a project environment
