We are seeking a proactive, well-organised, and self-motivated Administrator to join our team, reporting directly to the Survey Director. This is a varied and dynamic role, ideal for someone who thrives in a busy office environment and enjoys being the go-to person for admistrative support.
Key Responsibilities:
As our Administrator, your duties will include (but are not limited to):
- Welcoming visitors, arranging refreshments, and handling front-of-house duties
- Assisting with refreshments and catering for meetings
- Receiving, sorting, and managing all incoming and outgoing post, including recorded deliveries
- Handling phone and email enquiries professionally and efficiently
- Ordering stationery and maintaining a tidy, well-stocked supply cupboard
- Monitoring printer supplies and reporting technical issues as needed
- Encouraging a clean and tidy office and meeting space for all team members
- Booking travel and accommodation (hotels, flights, train tickets)
- Taking and distributing meeting minutes
- Managing the Survey Director’s diary and scheduling appointments
- Creating and editing business presentations
- Updating spreadsheets as directed
- Managing parking allocations at the Dunfermline office
- Gathering and submitting information required for monthly payroll
