This Administration role operates within the Operations Training team performing an administrative function to contribute to the smooth running and success of the department.

Responsibilities

  • Create and maintain all course administration associated with ATC Rating, Specialist courses and Unit including but not limited to: joining instructions, course delivery material, invigilation & marking of examinations, regulatory documents and SAP entry to ensure ATC Instructors have what they need to deliver training.
  • Responsible for recording, updating and archiving of all relevant Trainee ATCO training documentation including SAP, SharePoint, hanging files and examination documents, to ensure regulatory data requirements are met.
  • Proactively ensure accurate records are kept and processes are followed to comply with business and regulatory requirements.
  • Act as the initial point of contact for our company wide training competency database (TRACER). Action all queries, performing troubleshooting and escalating issues as required.
  • Apply appropriate user permissions and complete audits to ensure compliance with data protection. Allocate access to forms in support of our centralised records of training and standard approach for record keeping.
  • Perform analysis of TRACER data to update the Operational Training Tracker and other relevant data sources, using electronic reporting and data capture. Identify anomalies in data and resolve or escalate as appropriate.
  • Provide analysis and summarise training data for the Training Management team. Pro-active development and ownership of reporting in relation to training progress and Unit training activities
  • Analyse OJTI activations and OJTI hours data from TRACER in order to accurately submit ATCO pay updates. Investigate and resolve any anomalies with individuals and EP services confirming satisfactory resolution.
  • Ensure ATC paperwork requirements are met, through both the preparation of Unit Licence Endorsement Validation Board paperwork and subsequent actions as required post Validation board.
  • Ensure Administrative processes are regularly reviewed and continuously improved to ensure smooth running and success of the Delivery department.
  • Deputise for the Administrator Manager as required, ensuring communication and engagement with the Manager of End-to-End Training Improvements and other stakeholders.

Skills & Experience

  • Must be highly motivated both personally and professionally.
  • Sound knowledge of Microsoft Office including but not limited to Excel, Word and Outlook.
  • Must be highly organised and self motivated.
  • Must be able to demonstrate initiative and proactively challenge practises where appropriate.
  • Must be able to work to strict timescales and adapt quickly and easily to changes in tasks.
  • Must have good interpersonal and communication skills and be able to work both autonomously and as part of a team, sharing knowledge and resolving issues as a team.
  • An excellent team player, the job holder must be able to communicate effectively at all levels
