About The Role
As a Legal Operations Co-ordinator in the Legal Operations team, you will provide broad support to the Legal Operations team, helping to drive efficiency, consistency, and organisation across our legal processes. Working closely with the wider Legal team and cross-functional partners, you will support the delivery of operational projects, enhance document management practices, and assist with a variety of administrative and ad hoc legal tasks.
Reporting to the Vice President of Legal Operations, the role is well-suited to someone with prior experience in a coordination or administrative support role within an in-house environment. The ideal candidate will be tech-savvy, highly organized, and confident managing projects and systems in a fast-paced, collaborative setting.
Duties & Responsibilities
Operational Support:
- Platform Implementation: Support the implementation of our AI-powered contracts platform (Luminance), becoming a subject matter expert to support system adoption and day-to-day use.
- Operational Improvements: Identify, plan, and support initiatives aimed at improving operational efficiency within the Legal function—whether through procedural changes or implementing new tools or systems.
- Financial Administration: Serve as the Legal & Compliance point of contact for internal budget and expenditure processes.
- Vendor Relationship Management: Provide administrative support in managing relationships with external legal service providers, including organising meetings, preparing agendas, taking minutes, and tracking action items.
- RFP Support: Provide coordination support for legal input into RFP processes, working with the bid management team and other business functions to ensure timely and accurate contributions.
Document Management
- Template Management: Oversee the management and maintenance of legal contract templates, and coordinate cross-functional stakeholder input into periodic template reviews.
- Knowledge Assets: Maintain internal documentation and support the organisation of legal knowledge assets, such as internal guidance and playbooks.
Ad Hoc Legal Support
- NDA Reviews: Conduct initial reviews of NDAs using pre-approved guidelines and escalate where required.
- Manage Input: Support the Legal team with light-touch assistance on cross-functional projects requiring legal input.
- Legal Admin: Assist with legal research, proofreading, and document formatting for internal and external use.
Knowledge, Experience & Skills
- Previous experience: Prior experience in an administrative, project coordination, legal support, or operations role (ideally in-house in a legal, compliance, procurement, or finance function).
- Legal Document Management: Familiarity with common contract types and key commercial terms (e.g. NDAs, vendor agreements, amendments) and experience managing legal documents and templates, including version control, formatting, and stakeholder input.
- Project and Process Support: Demonstrated ability to coordinate or support projects across functions—such as tool rollouts, document updates, or process improvements. A proactive, process-minded approach to solving problems and identifying operational efficiencies.
- Organisational Skills: Excellent organisational skills with the ability to manage competing priorities and work independently with attention to detail.
- Communication Skills: Strong written and verbal communication skills, including the ability to draft, proofread, and edit internal documents or templates.
- Industry Background: Interest in legal technology and its role in enabling more efficient processes.
