About The Role

We have an exciting opportunity has come available for an Administrator to join our bookings team. Successful candidates will be invited to our ‘meet the team’ recruitment event on Wednesday 13th August.

Principle Duties And Responsibilities

  • Contacting patients/parents to arrange pre-assessment and assessment appointments.
  • Sending out appointment confirmation letters.
  • Providing a knowledgeable and friendly service to our clients – ensuring appropriate information and guidance is given regarding the appointment process when scheduling appointments.
  • Ensuring that the highest level of customer service is provided to every individual you have contact within the role, in line with Psicon’s organisational goals.
  • Completing detailed and accurate records of every client contact.
  • Effectively managing situations where conflict may arise.
  • Escalating more complex enquiries calls to the appropriate colleague.
  • Rearranging clinics at short notice when required.

Preparing Clinics Including

  • Ensuring correct documents are loaded to patient management system.
  • Checking all details on appointment letter to ensure location, date, time etc are correct and appointment details have been shared with all appropriate parties.
  • Checking any personalised care notes for accessibility requirements, or any important information for clinical or front of house teams.
  • Ensure medical equipment is ready and available and room allocations are booked.
  • Carrying out ‘tech calls’ for online assessments ahead of the scheduled appointment and ensuring all correct links have been sent to relevant parties.
  • Liaising with social workers and other professionals where relevant via telephone and email.
  • Effectively using online patient management system to move patients through their journey with Psicon.
  • Reporting feedback or incidents to quality management.
  • Maintaining up to date and detailed knowledge of the whole NDLS service as relevant to area of work.
  • Work towards meeting KPIs which may vary depending on area of work.
  • Support operations staff to carry out audits against KPIs.

  • Experience of working within a customer focused administration role.
  • Excellent interpersonal & judgement skills.
  • Experience of working to KPI targets and tight deadlines whilst balancing competing priorities within a busy environment.
  • Ability to work under pressure whilst maintaining a calm professional demeanour.
  • Committed to providing the best quality service and achieving the highest standards of client care.
  • Outstanding communication skills and the ability to communicate with diverse groups of individuals.
  • Able to establish and maintain productive professional relationships with colleagues.

The role is based in the centre of Canterbury, Kent (Please note there is no onsite parking). The core hours are 09:00-17:00 with 3 days in office / 2 WFH (37.5h contract) with the working days being Monday to Friday. All new employees will be required to work onsite in Canterbury full time until they achieve their core competencies.
