My client, a leading family office are looking to hire their first Business Administration Officer, joining the COO’s office based in the firm’s London office. This is a newly created hire.
Reporting to the COO, the hire will take ownership of key business operations and executive management responsibilities for the entire London office and will take on a broad remit ranging from vendor management to driving improvements across internal finance, accounting and staff data management systems. The hire will play a key role managing all office finances across IT and technology vendor contracts as well as facilities management and liaise with a team of EA’s across global offices to ensure that expense tracking, logging and payments are completed. The hire will also oversee employee hiring and contract management (working with the legal team) for private estates and professional offices. The role is highly varied, with ever changing challenges and responsibilities including managing the property portfolio, coordinating / managing EA’s, working closely with a wide selection of his private/personal life service providers and event planning. A key part of the role will be responding to requests from the COO and/or proposing suggestions for changes in office administration processes, vendor contracts or accounting and expense management processes - the COO is extremely numerate/thorough and expects to consider researched proposals, proficiently summarised so that he can efficiently make a well calculated decision. Hiring an individual who is equally methodical, enjoys research and can quickly / concisely summarise relevant information are key characteristics required to be successful in the role.
The ideal candidate will have at least 7 -10 years of experience as a Business operations officer / Business support officer / Chief of staff at a family office or at an investment manager / asset manager. The firm has offices and members of the team in Italy, Spain and Portugal so the hire must be able to speak at least one other language from these countries fluently.
This is a business-critical hire for the firm so they have budgeted £125 – 175K TC for this hire. The successful candidate will also receive fantastic bonuses and WFH flexibility.
