Roles at this level provide authoritative professional advice across a range of activities and/or will lead and manage diverse team(s) and resources. Department Overview
The role of Business Support Officer will sit in the Business Support team as part of the Operations department, managed by the Business Systems manager. The Business Support team’s remit is to support the effective delivery of UoB Sport & Fitness’ needs through excellent administration and support to colleagues.
Role Summary
- To work in collaboration with all departments within UoB Sport & Fitness to support business efficiency and efficacy across the business
- Deliver financial administration including invoicing, ordering and reconciliation
- Support the HR administrative needs of the business, including managing leave and sickness
- Coordinate and input bookings into the leisure management system
Main Duties
- Support line managers in processing HR matters such as annual leave and maintaining sickness records
- Collate and report on mandatory training and personal development records for all staff
- Diary coordination for the senior management team, including organisation of room bookings for meetings and taking and distribution of minutes
- Actively seeking and liaising with customers to maximise external bookings
- Coordinate and input facility bookings into the leisure management system
- Coordinate access control for performance athletes and clubs to UoB Sport & Fitness facilities
- Administrations of daily financial administration to including raising and receipting orders and credit card purchases
- Administration of regular financial processes, such as call off orders and running monthly reports
- Assumes the role of Core Systems super user, supporting and disseminating guidance across all departments
- Actively manages equality, diversity and inclusion through monitoring and evaluation and actively challenging unacceptable behaviour.
- Supports the University’s sustainability agenda through resource efficient working
- Any other duties commensurate with the grade
Required Knowledge, Skills, Qualifications, Experience
- GCSEs at grade C/4 or above in English and Mathematics (or equivalent Level 2 qualifications)
- Evidence of literacy and numeracy
- Practical experience relevant to the role, with the ability to apply knowledge of work practices, processes, and procedures effectively
- Awareness of broader sector or commercial context relevant to the role
- Experience of promoting and supporting Equality, Diversity and Inclusion (EDI) in the workplace
- Ability to monitor and evaluate the application of EDI policies and procedures
- Awareness of issues that may impact protected groups and the ability to take appropriate action

Working at this level you will be able to develop and demonstrate the following core competencies/transferable skills and will be expected to be flexible as required in supporting their department and wider University.
Planning and organising
You will be required to manage and prioritise a varied workload to deliver within required time frames.
Problem solving and decision making
You will be working under the direction of a senior manager, but with some autonomy to deliver the outputs required. You will be working within the framework of existing policies, processes and procedures for the University and the College. You will take day to day decisions on answering queries and will be expected to refer queries on as appropriate.
Relationships and communication
This role will be liaising with internal colleagues and stakeholders, and possibly external stakeholders as well with an expectation on maintaining good working relationships with all.
