About the Organisation

A prestigious UK-based not-for-profit organisation with a long-standing heritage is seeking a Governance Coordinator to join its small and highly regarded Company Secretariat team. This is a rare opportunity to support and strengthen the organisation’s governance operations at the heart of its executive function.


Team Structure

The sucessful candidate will join a close-knit Secretariat team of three, reporting directly to the Company Secretary. The team supports a wide range of governance activities across the organisation and its trading entities, working closely with senior leadership and trustees.


Role Purpose

To provide administrative and coordination support for the governance function, ensuring the smooth running of board and committee processes, regulatory compliance, and internal governance frameworks.


Key Responsibilities

  • Coordinate scheduling and logistics for board, committee, and AGM meetings.
  • Prepare and circulate agendas, papers, and minutes, and track follow-up actions.
  • Maintain accurate records of governance documents and statutory filings.
  • Assist with filing and monitoring regulatory returns and key compliance dates.
  • Support the organisation’s governance calendar and internal reporting cycles.
  • Help manage updates to internal governance documentation, including policies, terms of reference, and registers.
  • Liaise professionally with trustees, board members, and executive leaders.
  • Provide general support to the Company Secretary and wider Secretariat function.
  • Contribute to improvements in governance systems and processes.


Candidate Profile


Essential

  • Prior experience in an administrative, secretariat, or governance support role.
  • Excellent organisational skills and strong attention to detail.
  • Confident communicator with the ability to interact with senior stakeholders.
  • Strong written skills, particularly for formal documentation and minutes.
  • Ability to handle confidential information with discretion and professionalism.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, SharePoint).


Desirable

  • Experience working in a charity, membership body, or regulated environment.
  • Understanding of governance frameworks, charity law, or Companies Act compliance.
  • Familiarity with board portal software or governance management tools.


Location & Working Arrangements

  • Based in central London with hybrid working available (subject to team policy).
  • Full-time, permanent position.
