What you’ll do:
As a Contract Administrator you will ensure the smooth and efficient operation of the contract by managing day-to-day administrative tasks and providing essential support to the Project Coordinator (if applicable) and the wider operational team. They will rely on you to be pro-active, organised, efficient and self-managing with an eye for detail and a flair for problem solving. You will be curious and inquisitive, challenging the status quo and always looking for a “better way” allowing us to maximise productivity and efficiency to ensure we are the best and most respected company in our field.
Key Responsibilities:
- You support with all customer, client and internal enquiries, ensuring they are actioned promptly and in a professional manner, with all stakeholders being informed of progress and resolution, demonstrated through minimising chasing enquiries and using professional vocabulary and grammar in written communication.
- You will support the purchasing and invoicing process for our field teams and suppliers, maintaining an accurate and detailed record so you can resolve queries promptly as they arise.
- You will have a strong commercial awareness, demonstrated by challenging in accordance with our Golden Rules, internal policies and procedures.
- You will support the invoicing process for all work in your region, resolving or escalating any issues promptly as they arise.
- You will capture and maintain accurate data records as required by our clients and operational teams, ensuring we have a simple and clear view of operational and financial information both on internal and client systems.
- You will ensure that all quotes, reporting and other communications going out to your client(s) are professional, in the required format and delivered within the expected timescale as well as being updated on systems as required.
- You will support with the permissions of this process (as required), including emailing permission documents and printing, collating and posting letters.
- You will support the traffic management process required for field operations is a smooth and structured manner.
- You will act as required either to solve or escalate issues as soon as they become apparent. You should have a proactive approach to problem solving, responding quickly with solutions when issues arise, or by quickly seeking guidance and support from your line manager with a view on potential solutions.
- You will have excellent time management skills and be largely self-managing - demonstrated through email management, quickly returning calls, and managing your fluctuating workload with minimal support.
- You will prepare for and attend client and internal meetings as necessary and be able to discuss in detail the current situation, any ongoing issues and future planning.
- You will work closely with your team to ensure our clients and operational teams get a consistent service in case of holiday and sickness, as well as supporting other departments when required.
- You will be a role model for outstanding customer service with a positive and professional attitude to all your interactions.
What we’re looking for:
- Strong IT skills and proficiency in Microsoft applications, especially Outlook, Excel and Power BI.
- Confident in written and oral communication - to be able to converse professionally with internal and external stakeholders at all levels and demonstrate excellent customer service skills.
- Organised and self-managing with excellent time management skills and the ability to prioritise and thrive in a fast-paced role.
- Strong commercial awareness and an eye for detail.
- Be able to use your initiative, take the lead, be pro-active and assertive when necessary to ensure results.
