Job Description

As a Renewals Administrator within Zenzero, you will be responsible for managing and coordinating the timely renewal of software licences, hardware maintenance contracts, and subscription-based services for both Zenzero and the customer base. Your attention to detail and proactive follow-up will help ensure uninterrupted service delivery, cost accuracy, and customer satisfaction. This role requires strong administrative skills, supplier coordination, and a good understanding of recurring revenue workflows.

Job Requirements

  • Prior experience in an MSP, VAR, or technology reseller environment (essential)
  • Familiarity with vendor portals, pricing tools, and distribution platforms
  • Strong Excel skills and experience working with PSA & CRM systems (ConnectWise beneficial)
  • Excellent organisational and time-management skills
  • Strong attention to detail and commercial awareness
  • Confident communication style

Job Responsibilities

  • Maintain and update the central renewals tracker across vendors and services (e.g., Microsoft, Cisco, antivirus, backup, firewalls, SaaS tools, warranties).
  • Monitor renewal dates and initiate engagement with suppliers and internal teams well in advance (30/60/90-day cycles).
  • Generate accurate renewal quotes using internal systems, distributor portals or vendor platforms (e.g., Ingram, Tech Data, Microsoft NCE).
  • Reconcile renewal pricing against original quotes, benchmark pricing, and agreed commercial terms.
  • Prepare client-facing renewal proposals and follow up to ensure timely approvals.
  • Process approved renewals by raising POs and coordinating with procurement or sales operations.
  • Flag risks such as late renewals, price increases, or licence changes to the appropriate stakeholders.
  • Collaborate with account managers, procurement, finance, and technical teams to ensure licence continuity and service quality.
  • Ensure accurate documentation and version control of renewal data in PSA/CRM systems (e.g., ConnectWise, Autotask, Salesforce).
  • Support compliance with ISO 9001 and ISO 27001 by maintaining accurate renewal records and audit trails.
