Position Description

This is a fantastic opportunity to be part of a dynamic team and a role well suited to a pro-active and highly motivated individual. You will be working within a team specialising in managing conference calls, physical roadshows, conferences and other client- focused corporate access events in EMEA region.This will be a hybrid working environment with flexibility.

Key Areas of Responsibilities

• Book travel, accommodation and transfers for analysts and corporates coming into London
• Preparing travel documents and itineraries
• Drafting and sending out marketing invitation emails to clients
• Manage and provide logistical support for roadshows
• Coordinate and manage multiple roadshow schedules simultaneously
• Administration support for the team
• Printing and couriering presentations
• Setting up in-house lunch & coffee meetings
• Document preparation, editing, typing of visa invitation letters
• Set up, hosting and logging of 1x1 and group conference calls/ virtual meetings
• Additional administration support activities for the Front Office as and when required
• Work as part of the team, supporting fellow team members to ensure a high level of service is offered to all our clients

Requirements

• Minimum 24 months of office work experience
• Ability to organize and prioritise large volumes of incoming emails
• Ability to multi-task and to work under extreme deadline pressure at times
• Excellent organization skills
• Exceptional administrative skills
• Excellent computer skills in Word, Excel, PowerPoint, Email, Outlook Calendars required.
• Good communication skills both verbal and written – able to remain calm, work under pressure and multitask
• Attention to detail is key
• Team player and pro-active attitude
• Flexible attitude to working hours
