Position Summary

To co-ordinate and facilitate the European Customer Service Office team’s activities across Europe. Providing direct assistance to primarily the Head of ECSO along with Department Directors in day to day business needs and also with coordination and organization of key events such as European Service Conferences and specialized conferences hosted by the head of ECSO. Providing direct support for Key Visitors from HQ and Subsidiaries. Lead Key Report distributions between ECSO and all Collaborators. In addition, manages the invoices of ECSO operations and projects to process necessary claims.
Role And Responsibilities
Your key responsibilities
- You will play a critical role in providing administrative assistance to a busy Pan-European Customer Service team based in Chertsey.
- You will help to ensure smooth operations across the diverse and energetic environment by ensuring that
- Take ownership of the departmental report and be responsible for the collation and distribution of the report via various systems to the HQ and Subsidiary network.
- Support and assist Head of ECSO and Department Directors with expense queries / issues and liaison with Shared Service Centre FA teams.
- Support and manage invoices of ECSO with the department and Shared Service centre. (Preapproval-Invoice-GL mapping)
- Report ECSO cost report to Head of ECSO (Cost validation and analysis)
- Office management including; Dept stationary and consumables management, diary maintenance and business calendar updates, meeting room and catering booking, restaurant/hotel booking for conferences and workshops, arrange business travel for the team and provide PA services to senior management.
- Take minutes at weekly department leadership meetings, consolidate slide decks and action list.
- Organisation of European Monthly Review Process: i.e. Video Conference reviews, European Council meetings and bi-annual service conferences.
- Provide assistance with the collation of presentation materials, minutes and actions follow up.
- Lead logistics where necessary - including VC connections, meeting rooms, venues and flights / accommodation.
- Support on-going projects, organize communications and task lists, ensure timescales are met, follow up and increase issues. Drive and motivate project team members to deliver actions and updates.
- Support General Affairs activities for the department with relation to ensuring a smooth and productive environment
- Some European and Global travel may occasionally be necessary subject to business needs

- Ability to multi-task and work effectively in a fast-paced environment
- Proficient use of Microsoft office packages, in particular Word, Excel, PowerPoint and SharePoint
- Previous experience in an administration / data analyst based role is desirable
