Job Overview

The Deputy Manager supports the Registered Manager in providing effective leadership, governance, and operational oversight within the domiciliary care setting. The role contributes to the delivery of high-quality, person-centred care and supports compliance with CQC and other regulatory requirements.

The Deputy Manager works closely with the Registered Manager to ensure the smooth day-to-day running of the service and will deputise in their absence, as required.

Key Responsibilities

Operational Management

• Support the Registered Manager with the day-to-day running of the office, ensuring tasks and deadlines are met.
• Assist with handling office phone calls and participate in the on-call rota as required.
• Support and contribute to pre-assessments, including assisting with contract proposals for new service users.
• Assist in managing and monitoring the care management system, including care plans, risk assessments, daily notes, and observations.
• Carry out spot checks in line with company policy and feedback findings to the Registered Manager.
• Support the coordination of staff meetings and training activities, working alongside the training facilitator where required.
• Ensure company policies and procedures are followed and escalate concerns to the Registered Manager.

Staff Management

• Support recruitment processes, induction, and onboarding of new staff.
• Assist with staff supervision, appraisals, and performance management under the guidance of the Registered Manager.
• Support the organisation of staff meetings and documentation of actions.
• Promote a positive, supportive, and professional working culture.

Quality Assurance & Compliance

• Support quality assurance processes and audits to maintain regulatory compliance.
• Assist the Registered Manager in ensuring compliance with:
• CQC regulations
• Mental Capacity Act
• National Minimum Standards
• Contribute to continuous quality improvement initiatives and clinical governance processes.
• Escalate safeguarding, quality, or compliance concerns appropriately.

Business Development

• Support the Registered Manager with service growth and business development activities.
• Assist in monitoring the Hertfordshire County Council brokerage portal for opportunities.
• Support attendance at HCC meetings and partnership discussions, where required.
• Assist with supplier liaison and procurement activities.

Service Delivery

• Promote dignity, independence, and choice for all service users.
• Support auditing of care plans and risk assessments to ensure timely completion and review.
• Assist in addressing service delivery issues and implementing improvements.

Communication & Correspondence

• Support the handling of correspondence, complaints, and queries in a professional and timely manner.

Key Requirements

Qualifications

• Experience in a managerial or deputy management role within domiciliary, residential, or community care services
• Full UK driving licence and access to a vehicle

Experience

• Experience working in a supervisory or management capacity within health or social care
• Experience supporting operational service delivery and staff management

Skills & Competencies

• Ability to support and motivate staff effectively
• Strong communication, documentation, and interpersonal skills
• Good working knowledge of CQC regulations and compliance requirements
• Strong organisational and time-management skills
• Ability to problem-solve and escalate appropriately
• Confident IT skills, including care management systems and Microsoft Office
