Job Description
We are looking for a Document Controller based in our Manchester Office where we are a delivery partner on key infrastructure projects across the water, defence & nuclear energy sectors .
The position will require visits to our client offices with a blended approach to flexible and home working to support wellbeing.
This is a unique opportunity to be involved in some of the most complex and challenging projects in the UK today, where you will be responsible for document control.
We welcome applicants from candidates with experience of working in highly regulated environments but equally are seeking people with Document Control experience in other industries and sectors to support interdisciplinary learning and on-site delivery.
Responsibilities
- Uploading and management of documents in line with best practice standards
- Championing of document management processes and systems within the project environment
- Review, management and uploading of documents held on sites for projects
- Understanding and adhere to legal, contract and project document management requirements
- Deal with enquiries efficiently and effectively
- Carry out other project and non-project related activities as required
- Assist in the production and supply of electronic and hard copy documents
- Where appropriate promote training to operational team and suppliers in use of the electronic document management system (SharePoint and Autodesk Vault) and related IT systems.
- Monitor compliance with contractual periods of reply and draft appropriate contractual communications via CEMAR,
- Provide assurance to Project Manager by ensuring that all records are maintained.
- Identify and implement areas for improvement and share best practice
- Complete timesheets end of each week and ensure others do as well
- Implement and contribute to processes/systems to meet commercial expectations.
- Manage registers and Metrics including for file storage
- Attend relevant meetings
- Be proactive in their own professional development, learn new skills and broaden/deepen professional experience

- Liaise with established document control team in the wider Dockyard to ensure compliance with existing systems and processes.
- Develop, agree, & manage project document control processes to assist delivery teams in streamlining their workflows
Essential
QUALIFICATIONS
- Ability to communicate effectively with peers and other disciplines in both verbal and written
- Good interpersonal skills and team worker
- The successful candidate will either be a current holder of Security Check (SC) or Developed Vetting (DV) Clearance, or have the ability and be willing to obtain security clearance required for role.
- High level of competence in the use of Microsoft Office Suite/Sharepoint and other IT systems
- Proven experience in document control, preferably within an engineering, construction, or technical environment.
- Familiarity with document control software and database systems.
- Strong organisational and time-management skills, with the ability to handle multiple tasks simultaneously.
- Attention to detail and commitment to accuracy.
- Excellent communication skills, both written and verbal.
- Proficient in MS Office applications and document management systems.
- Ability to work independently and as part of a team.
Desirable But Not Essential
Educational Background: A diploma or associate degree in Business Administration, Information Management, or a related field but is not always mandatory.
Training and Certifications: Certifications or specialised training in document management systems or tools can be an advantage.
Adaptability to Change: With technology and standards evolving, being adaptable and open to learning new systems and processes is valuable.
