Job Description

Document Controller is required to implement and manage processes relating to the company Document Control and Management systems. Working with the project team in order to implement and control these systems they must also manage the distribution of all documentation and ensure good relationships with external and internal stakeholders.

Costain supports EDF Energy to maximise the lifespan of its eight UK nuclear power stations. Costain's role is to provide project controls and commercial managed services to portfolios and programmes of work across all of EDF's eight UK nuclear power stations. As part of this work Costain will develop people capability in core project control skills and provide specialist support to EDFs Central Technical Organisation to improve project performance and deliver cost efficiencies.

Responsibilities

  • Assisting Project Managers with maintaining a compliant and organised document filing structure
  • Assisting the programme team by ensuring document conformance - appropriate use of templates, referencing & document formatting etc.
  • Maintain a record schedule and document distribution matrix; index and store records and documents to ensure that they are easily retrievable. Undertake regular reporting on the status of documentation to project teams & senior stakeholders.
  • Working in conjunction with Project Managers, Suppliers and Engineers, carry out activities in compliance with document and records procedures to ensure that documents and records are managed appropriately.
  • Work with Project Managers/Engineers by taking a proactive approach to status updates, maintaining the flow of documentation & important information across the project team.
  • Develop, load and maintain documents on the Asset Management Suite (AMS)/Controlled Document Management System (CDMS) to ensure that approved documents are readily available.
  • Make registered copy holders aware of new document issues.

Qualifications

  • Experience of document management within a project environment.
  • Competent with Microsoft Word, Excel, PowerPoint, Adobe, Visio and Outlook,
  • Experience of using an Electronic Document Management System to maintain documents and records.
  • Possess high standards of organisational skills, have the ability to prioritise workload
  • Able to work under pressure, a team player and self-motivated.
  • A good understanding of electronic file types and the requirement for accurate document referencing. A good knowledge of filing systems and the aim of distribution matrices, engineering and design document control and vendor data.
