We’re looking for an EA & Workplace Manager to join our team to act as a trusted strategic partner to the Yoto Executive team (CEO & Co-Founder, CTO & Co-Founder, COO and CFO). This hybrid role will provide expert-level coordination and foresight, becoming a critical enabler of Executive productivity. This role will also manage our global office experience and workplace culture.

What you’ll be doing:
A hybrid EA & Office Manager role, with duties as follows:
- Provide high-level executive support to the Executive team (Exec):
- Manage complex calendars and scheduling with precision
- Manage Exec email inboxes where required - triaging inbound emails
- Anticipate and pre-empt needs, proactively removing blockers
- Manage CEO’s LinkedIn profile - dealing with inbound messages, enquires or connection requests, and collaborating with Comms team on regular posting activity
- Handle sensitive and confidential information with discretion and trust
- Serve as a communication bridge between the Exec and various stakeholders where appropriate, including board members, investors, and internal teams:
- Act as ‘run point’ on key cross-departmental initiatives ensuring momentum is maintained and slippage or blockers are identified early with solutions proposed
- Prepare detailed presentations and reports, such as Board papers, investor documents
- Conduct research and compile comprehensive analyses for strategic decision-making
- Support with internal comms - drafting of keynote speeches, feeding in to messaging drafts
- Oversee all aspects of office management: facilities, Health & Safety, suppliers, standards, culture:
- Be the primary point contact for our existing UK and international office suppliers playing a key role in coordinating lease renewals or discussing additional space requirements
- Responsible for our global office presence strategy as we expand into new regions
- Own all physical workplace and culture operations (supplies, swag, gifting, celebrations, togetherness)
- Support onboarding for London and New York-based new joiners
- Foster a tidy, welcoming and high-standards working environment
- Coordinate and play a key role in supporting physical gatherings and events:
- Lead role in building our culture as we continue to scale globally, optimising our hybrid working approaches through togetherness and innovative ways of working
- Play a key role in supporting wider People projects, in particular Yoto Fest (our annual, global get together)
- Coordinate high-level meetings, including board meetings and executive gatherings
- Coordinate complex travel arrangements, managing agendas and related expenses
What you’ll bring:
- Experience in a hybrid EA & Office Manager role, ideally in a fast-growth or scale-up environment
- Experience confidently and credibly deputising for C-Suite leaders
- Advanced organisational capabilities and exceptional communication skills
- Discreet and able to build high levels of trust quickly
- Strategic thinking and proactive problem-solver
- Ability to work independently and apply expert judgment in a fast-paced environment
- Technological proficiency - high standard of Google tools, PowerPoint, Excel skills
- Data led, analytical mindset - able to interpret complex data and present key themes
- Advocate for use of AI in improving personal productivity and team efficiency - passionate and able to lead by example
- Proven experience delivering exceptionally detailed plans and or documents
- Able to drive momentum and ensure actions are followed through
- Pride in your impact on enabling overall operational excellence and efficiencies
- Assertive communicator - able to bring people together and get stuff done
- Project management skills - ensuring actions are followed through and momentum is maintained
- Visible and available
- Desirable: experience working with Founders
Salary: £50,000 - £60,000 based on experience
What you can expect from Yoto:
- Flexibility: Hybrid working - for this role in particular we would love you to come into the London office at least four days a week, but be available 5 days a week to come in if needed. Take advantage of our ‘work from anywhere’ policy to work from a different location for up to 6 weeks every year. Summer Hours policy to use between the months of June and August.
