Are you looking for a new challenge? We have an exciting opportunity to join our Employee Benefits Team as an Employee Benefits & Childcare Advisor.
To act as an Employee Benefits and Childcare Advisor and source of expertise to all NHS staff.
The main role of this position is to provide comprehensive finance and administrative support for the childcare function (126 place nursery and 49 place holiday club) and Employee Benefits Team.
The role includes the management and administration of a range of salary sacrifice schemes and childcare income. Taking the necessary action to recover non payment of childcare fees and the correct recovery of the Local Authority Educational Grant Funding.
Promote and share employee benefits, childcare and carers services across the Trust using a range of communication methods and strategies.
Providing project support in the planning, preparation and delivery of events and facilitating staff engagement, rewards and recognition events.
Main duties
- Act as the first point of contact and respond to enquiries from users of the salary sacrifice schemes and resolve day to day queries.
- Act as an Employee Benefits and Childcare Advisor and source of expertise for all NHS staff across the Trust, providing information, best practice and support to staff.
- To have an understanding of good practice and legislation on various aspects of salary sacrifice and childcare funding.
- Process and administrate salary sacrifice schemes including cycles scheme, nursery/holiday club workplace scheme and monthly childcare vouchers salary sacrifice schemes.
- To provide comprehensive finance and administrative support to the childcare function and Employee Benefits team.
- Support the adaption of systems to improve finance and budget management to improve the service to meet financial target/goals.
- Ensure invoices are correctly coded and authorised for payment/rejected using internal systems to query any discrepancies that occur in line with agreed policies and timescales.
- Taking the necessary action to recover non payment of childcare fees and the correct recovery of the Local Authority Educational Grant Funding.
- Reconciliation of monthly finance records.
- Provide administrative and project support to the Head of Service and the Employee Benefits Development Manager in relation to specific projects and activities.
Key Requirements
- To identify and share best practice regarding staff benefits and suggest projects to support the delivery of the HR Strategy.
- Support the development of specific staff benefit related projects and initiatives including events, discounts and service improvement.
- Contribute to long term planning, preparation and delivery of events
- Create events using external administrative and booking systems including event bright and survey monkey.
- Work collaboratively with a network of colleagues to arrange staff award presentations managing complex diaries to find suitable availability and secure venues.
- Promote and provide information on events, working in partnership with the Trusts communications team using social media and internal marketing, briefings and presentations.
- Support the delivery of a robust communications package, raising awareness of staff benefits, childcare and carers support within the Trust.
- Co-ordinate multi-disciplinary meetings, workshops and presentations, including sourcing venues, organising speakers and arranging for presentation equipment.
- Responsible for data entry, storage and retrieving information generated from monitoring and evaluation forms.
- To be aware of and support wellbeing projects of high importance, including the annual flu campaign, promotion of activities and public initiatives that impact on the staff benefits team e.g. cycle to work schemes and Home Electronics Salary Sacrifice schemes
- Occasional requirement to produce reports, forecasts, documents and analyse spread sheets.
- Maintain finance data spreadsheets and reports making any recommended amendments with input from related areas.
- Provide financial information to the Head of the service and Business and Support Manager.
