Job Description
We are currently looking for an
Engineering Project Administrator to join our fast paced team based at
Southampton Docks. In this role you will support, co-ordinate and review the daily planning work requirements of supplementary equipment, contractors and project work and provide wider support and administration to other Engineering teams and departments.
About The Role
How will you contribute:
- Provide administration to maintain compliance and fleet availability of Supplementary equipment.
- Ensure contractor RAMS and Authority to Work Permits are prepared for sub-contractor site visits for Projects teams.
- Assist with the service requests for Asset registration and new stock items.
- Maintain a register of key risks, Permits, Licences, Conditions & Consents, as required.
- Prepare, equipment hierarchy templates for CAT1, CAT2 and CAT3 (Cranes, Straddles etc)
- Prepare and maintain equipment hierarchy templates for non CAT1, CAT2 and CAT3 assets.
- Prepare, review, co-ordinate and update maintenance projects.
- Raise Purchase requisitions, tracking invoices and expenditure and ensuring contracts are in place for supplier services.
- Assist with Engineering Project Administration, including method statements, SSOW, RA as appropriate to ensure the project runs safely and effectively.
- Assist the Engineering Managers with Maximo administration in relation to holiday input, work orders, updates as needed.
- Update and maintain all SharePoint guidance, project templates etc.
- Gather project information from different departments and across site to create project packs, plans and communicate between all shareholders to keep updated.
- Support the Engineering Manager – Projects/Ancillaries with apprentice training schedules, plans, data and coordinate within the department their allocations and task log
- Support and cover the Engineering Assistant with any additional administration duties as may be required for the Engineering Department.
- Contribute to the continuous business improvement process and to the meeting of business objectives.
- Contribute to the development and implementation of functional systems, policies and procedures based on specialist knowledge or expertise to achieve best practice.
Your Keys Skills & Experience
- Previous Engineering technical experience is advantageous.
- An understanding and appreciation of equipment functionality and service requirements will be advantageous.
- Knowledge of Maximo EAMS an advantage, but where appropriate, training will be given.
- Knowledge and awareness of RAMS, method statements and Risk Assessments
- Understanding of how to prioritise and escalate tasks upwards
- Ability to effectively plan and co-ordinate maintenance activities.
- Excellent analytical skills.
- Attention to detail essential, specifically required in presenting accurate data.
- Good excel skills with the ability to present data on excel spreadsheets using pivot tables and formulate to produce comprehensive reports and business models as required
- ESSENTIAL - valid UK driving licence
