The department

The Events and Sponsorship Team is an integral part of Birketts’ Business Development and Marketing team. The Business Development and Marketing Team has more than 25 experts, who work together as integrated Team, in support of the firm’s vision, mission and values.

Purpose of job

This is a multi-disciplinary, hands-on role with a strong focus on supporting the delivery of a range of events and sponsorships across the firm. The role requires you to work closely with the Events and Sponsorship Manager, as well as with the sector and practice team leaders to drive the successful implementation and monitoring of events and sponsorships.

The role is split between Cambridge and Norwich and you may be required to travel to our other offices or venue locations to support events on occasion.

Accountabilities

Events and Sponsorships:

  • Support the team with the coordination and project management of events and sponsorships.
  • Attend meetings with key stakeholders in order to understand key objectives, making recommendations, and creating clear action plans for events and sponsorships.
  • Pull together clear and timely event plans to support wider marketing and sponsorship activities.
  • Possess a strong knowledge of virtual events platforms and understand how to maximise webinar and virtual event success.
  • Specific event-related duties include; leading the production of project timelines, sourcing venues and catering suppliers, coordinating invitation lists, reviewing PowerPoint presentations, or other presentation materials, co-ordinating badges,
  • table plans and hand-outs and providing front of house support at internal and external events


Communications:

  • Working with the PR / Communications Team to promote events, webinars and sponsorships and ensure post campaign PR opportunities are maximised.
  • Produce marketing collateral in the form of invitations, flyers, brochures, adverts, and other materials.


Knowledge and Database Management:

  • Proactive Ambassador for Intapp CRM.
  • Ensure all activity related to events and sponsorships is recorded on our CRM, Intapp.
  • Ensure all events and sponsorships data adheres to GDPR guidelines and is kept up to date on a regular basis


Merchandise and Event Collateral:

  • Review presentations materials.
  • Proof read event and sponsorship collateral.
  • Source and manage the supply of merchandise.
  • Support invoice processing adhering to the firms’ purchase order and marketing expenses processes.
  • Maintain register of event asset requirements and locations.


Event ROI

  • Collate event feedback, uploading attendee information onto CRM system and provide feedback reports to key stakeholders post event.


Other:

  • Support the team in the efficient delivery of business development and marketing activity.
  • Build strong working relationships with all teams.
  • Actively contribute ideas for business development and marketing activities.
  • Undertake other duties to meet the demands of the business.


The candidate

You will need to be detail oriented and rigorous in updating activities and data on our best in class, CRM, Intapp, to ensure that events are executed well, on time, and to ensure they are always current and report accurate metrics and expenses data to generate meaningful reports. This is a proactive challenging role in a busy team, that requires strong attention to detail and accuracy, excellent organisation and project management skills and the ability to multi-task with a ‘can do’ approach.

Qualifications/Experience

  • Versatile, confident and sophisticated individual, equally at ease with the organisation of elite C-suite events as with grass roots charitable and community events.
  • Self-motivated with the ability to use initiative and provide pro-active support to colleagues.
  • Creative flair, with an interest in creating impactful and memorable events.
  • Excellent written and verbal communication skills with a high level of attention to detail.
  • The ability to work calmly under pressure and adhere to strict deadlines.
  • Flexible and adaptable around working hours.
  • Good project and budget management skills, with an interest in achieving high levels of return on investment for events and sponsorships.
  • Strong team player.
